Member Image Submission Guidelines for use in Print and on the Web

Image File Formats
AAD is capable of receiving many electronic image file formats from members. It is preferable to receive file formats in their native format. We suggest that members only send image file formats that can be directly placed in the AAD’s Image Library. (TIF, JPEG, or EPS files preferred.)

Please only submit the original file. Do not change the settings for the image in a photographic software program. Changing the settings in a software program does not change the settings that were used when the image was taken.
Image Resolution
Member-supplied image files should have the correct resolution for all grayscale and four-color images. The resolution for images should be 300 dpi at 4x6 inches.

Images that are being resized to a larger image size for final print need to be received with enough resolution to print at that enlarged size. Example: If an image is received with a size of 2X3 inches at 150 dpi and the final image size needed is 4X6 at 300 dpi the image will be resized to 4X6 and only retain an image resolution of 150 dpi. 150 dpi will not be acceptable for print and will need to be rescanned to the 4X6 image size.
Image Cropping
Member-supplied image files should be cropped as tightly as possible as they should appear when printed or posted on the web. Cropping and resizing so that each subject appears to be about the same distance from the camera provides a uniform appearance to a varied group of mug shots. Eyes align, face and body occupy about the same amount of space.
Image Color-Space
Image files should be saved in the correct color space as they are expected to print. For example: If a scan is line art, it should be scanned in a bitmap format. If scan is a halftone photo, it should be in a grayscale mode. If a scan is four-color, it should be in a CMYK format for print, not RGB.
Disk Formats
AAD has many options for receiving digital image files from members including email, CD, and DVD.

Digital Camera

As printed images will be about 8 x 10 inches, a camera with a resolution of 8 megapixels or higher is strongly recommended.

Descriptionofimages

The caption associated with each released image usually includes the following information: the date of observation, and a short description of the image.

Naming Saved Images

When naming the image files, for HIPAA reasons, never use the patients last name.

Submitting Saved Images

When submitting the image files to the Academy office, send via email or burn to a CD or DVD and mail to the Academy offices.
