Purpose:

To determine a service model for Music Library’s Case Collection.

Background:

The Case Collection is a small special collection of about 2,500 items in several media. Items in this collection do not circulate and have other access requirements.

Current Music Library collections at ReCAP have CLIO locations “off,mus”, “off,msc” and “off,msr”. All three are circulating collections. “off,mus” receives customer code CU, allowing delivery to all CUL departments. “off,msc” and “off,msr” receive customer code MR, allowing delivery only to Music Library.

Encoding :

Proposal to create a new CLIO location for Music Library Case Collection: “off,mux”. Other Music Library special collections will be added to this CLIO location. Location display in OPAC will read “Offsite (Non-Circulating)”. All objects will be assigned Item Type “noncirc”. Patrons may place requests in the OPAC for objects in “off,mux”. Delivery options include Music Library [and tk].

Proposal to create a new ReCAP customer code MX. The restrictions and delivery point will match existing customer code MR. A separate and distinct customer code will ensure that Music Library staff maintains oversight of special collections. ReCAP delivery totes will contain a mix of CU, MR and MX barcoded items. The MX barcode prefix and distinct color stripe will denote restricted access.

Processing:

Case Collection materials need selective retrospective conversion and preservation treatment. Current plans include routing to Preservation Department for treatment.

Zack Lane will follow up with Preservation Department and MRP to determine an efficient workflow for processing, preservation treatment and transfer to ReCAP.
