Meeting Called to Order at 6:34 pm by Long-Voelkner

Topic:Approval of October 2013 Minutes

Motion: Motion to accept the minutes as writtenby Tobkin; seconded by Nelson: motion carried by unanimous voice vote.

Topic:Treasurer’s Report

Report:Tobkin distributed the profit and Loss Budget vs. Actual September-November 2013. The recent efforts of the Sponsorship Campaign have brought in $5,900 during this time period. The first invoices for registration weresent out and payments are beginning to come in. The deadline for the first half of registration is November 30th. Players will not be receiving their player passes until their registration is paid in full.

Topic:Spring Rec Report

Report:Morin reported on the upcoming 2014 Spring Rec Season. We are advertising for the Spring Rec coordinator through our website at the college and at BSU Career Services. The ad will read very similar to last season’s advertisement. Morin distributed a job description. Morin also shared that we will be distributing 130 soccer balls to our local elementary schools as part of the MYSA Grant.

Topic:Financial Aid

Report:Tobkin reported that we had received three additional financial aid applications after the deadline. Applications after the deadline are reviewed on a case by case basis as the Financial Aid Committee had met shortly after the deadline to submit applications and made recommendations at that time to the board. Two of the newly received applications are from families that are either new to soccer or new to the area. These families are able to apply for financial aid after the deadline as per our policy to encourage new families to join soccer or allow for financial aid to families moving into the area. The two new to soccer/new to the area families were granted financial aid at 50% with the board voting unanimously. The other application was for a family that is familiar with BYS soccer and as an active BYS soccer family would have received the same notice that other families did via the website and emails advertising the application process for financial aid and the deadline. The majority of board members voted to deny this application based on the need to comply with our own deadlines in order to plan for financial aid distributions.

The regular financial aid committee will meet in the next few months to review policies for the future and come back to the board with any recommendations.

Topic:Marketing Update

Report:Jamiee Meyers reported that the sign sponsorship campaignis still underway. She shared that the 1st Annual BYS Soccer ball is set for Saturday August 16th, 2014. There are several committees with chairs or co-chairs with assigned tasks. Estimated ticket price is now $50.

Topic:MYSA vs. USSF

Report:An application has been submitted to allow the BYS Extreme Teams to be registered to USSF. This will allow those teams the flexibility that they are looking for. The United Teams will still be registered with MYSA this year.

*A motion had been made by electronic email on November 8th by Nelson thatwe register allUnited teams through MYSA and all Extreme teams through US SoccerClubfor the 2013-2014 competitive season; seconded by Mark Ricci. Motion passed unanimously.

Topic:December Meeting

Discussion:After discussion the board decided to skip the December BYS Board meeting and instead meet on January 6th for our regular BYS Board meeting.

Topic:Calendar

Discussion:Deb Stanoch as our Webmaster will continue to add events for the club on our website calendar. Team practice times and other information should be added as it becomes available to keep all members informed. The board discussed the possibility of having both the kick off meeting and team manager/coaches this winter. We had tried to recruit volunteers to help put together an entry into the Night We Light Parade in November but did not have any interest from club families.
