Margate Elementary PTA August Board Meeting August 1, 2011, 6:00 pm
Call to Order: 6:15 PM
Attendees: Jan Perrone, Creeann Pepe, Amy Morgan, Patti Moore, Randi Tarbet, Sandy Ondo, Dana Vieira, Katie Ellis, Laura Anstett, Mr Schroeder, Misty Taylor, Ana Silva
Special Announcement:
- Mrs. Hameister has been promoted to Principal at Atlantic West Elementary. Ms. Tara Pasteur has been promoted to Assistant Principal for Margate Elementary.
BankAtlantic Presentation about Credit Cards:
- Mina Akladious and Sean Monage, BankAtlantic representatives, discussed the advantages to using credit and debit cards at Margate Elementary. There is an $18.80 transaction fee that will be charged quarterly from PCI Compliance
- There are several options
- Wireless Terminal, $15 monthly fee
- Pay at the PC, no fee but we must buy machine
- Mobile Technology, pay through your cell phone, we must buy machine
- Mina Akladious and Sean Monage will send a demo to Laura and Jan to preview how to use it
Old Business:
Recording Secretary: Review and Approve Minutes from July Meeting
- Approved by Laura, 2nd by Katie
Treasurer Report: Present Revised ProposedBudget and Current Budget
- Budget will have to be approved at General Meeting on Aug 30th
- Sales tax updated – rules that need to be followed
- Purchases that need to be resold have to be charged sales tax
- Example: If you buy a t-shirt and re-sell it, sales tax must be charged
- Items purchased for PTA on personal credit cards must be charged sales tax
- Cash handlers are the 7 main members of the board and the Volunteer and Membership Chairs only – Bonded Members=Cash Handlers
- Budget was approved by CreeAnn and 2nd by Katie
Innisbrook Leadership Convention: Brief update from CreeAnn, Laura and Katie
- CreeAnn presented different fundraising ideas that she and Laura and Katie learned about at the convention such as calendars with coupons or advertisement, snifty pencils and pens and other ideas
- EPI is a company that has t-shirt sales for $3.15 each with no set up or shipping fees
- Going to the convention was a success and CreeAnn, Laura and Katie will continue to give new ideas throughout the school year
Capri Suns – make decision to keep with PTA or give it up.
- The PTA voted to discontinue the Capri sun program
New Business
Credit Cards vs. Checks: Do we want to add credit cards and / or drop checks? If we add credit cards, should we wait until after NSYC due to crowds?
- The PTA voted yes to start using credit and debit cards
- Waiting for BankAtlantic to get back to PTA with more information
- Checks and cash only will accepted at the New School Celebration
- Laura will research equipment needed to attach to laptop.
Back to School Teacher Gifts: Tie Dye shirts, cups, pens, and bags are in; Bags have been labeled. Candy to be put on table instead of in bags – purchase candy at Burlington’s?
Must put items into bags. What day is good? ______Where and who can come? _____
- Jan has the teacher gifts at her house. She will prepare the gifts and bring them to the school. If you can help, call Jan.
- Will meet at the school on Aug 11th to set up the cafeteria
- CreeAnn will buy candy at Burlington’s
Welcome Back Week Setup– August 11th
Welcome Back banners - Three Costco Posters are ready – Amy to make others – update
Decorate Cafeteria at 11 am – Dana, Barbara, Jan, CreeAnn, Katie to assist; anyone else?
Covering bulletin boards with paper only, set up tables for food, tablecloths, etc. Put drinks in fridge, put out rolled napkins, etc. Do we have access to kitchen and refrigerator? Yes, until 3 PM.
Raffle Baskets – what raffle items do we have so far? CreeAnn, Amy, Jan and Laura have assorted raffle items
Dana and Jan to inventory items in PTA room to see what we need to buy and what we have- Jan and Dana will discuss a time when they can inventory the PTA room
Back to School Luncheon – Monday August 15th
Do we send a Save the Date email to staff? Last year, cafeteria staff missed luncheon-Mr Schroeder will send an email to the Cafeteria manager and school teachers and staff as a reminder for the luncheon
Checked prices at Penn Dutch and Doris’ – Doris’ priced a bit higher – will order from Penn Dutch the week prior to luncheon. Order desserts from Penn Dutch or purchase at Sams? – Dessert platters at Penn Dutch about $85 total for variety of cookies- Penn Dutch will supply deli platters and deserts specific to everyone tastes
Setup: 10:30 am – Food arrival and blow up balloons
Lunch served from 11:30 am – 2pm, clean-up from 2pm – 3pm
Who will be available at what times? Let Jan or CreeAnn know if you are available to help
Back to School Breakfast – Friday, August 19th
Media Center– Set up tables and decorate Thursday, August 18th at 11 am – Katie, Jan, Barbara, Dana, CreeAnn to assist – anyone else? Also will be setting up tables in cafeteria for NSYC.
Setup food and balloons Friday at 7am - Who can come and what times?
Continental breakfast with gluten free option, juice, water, coffee
Serve 7:30 – 10am, then cleanup – Let Jan or CreeAnn know if you are available to help
Back to School Celebration – Friday, August 19th – 4pm-6pm
Postcards have been ordered and received– must address and mail. Get labels from Mr. Schroeder. When and where address? Amy wanted to take home labels to prepare. If you can help, let Jan or CreeAnn know.
Setup – Thursday, August 18 at 11 am and Friday, August 19 at 2 pm – Who will be there and when?
Did we contact student volunteers w/ arrival time - Friday at 2:00 pm? How many do we have?
Have cake made at Publix or by Laurie Pollock or other? Cake needs 4’ x 8’ board. Do we need to purchase wood board or do we have one? Cake will be made by Publix and they will deliver to the school for our celebration. The cost is $454 (within budget). Giveaways at door – Peace Dog Tags are in.
Signs are made – CreeAnn to create floor plan of Cafeteria showing location of tables forVendors, School Groups, and Food
What other organizations want to participate? Penn Dutch will let me know, Girl Scouts, Rock-Ette Dance Academy, Ms. Kraus Homework Help, Margate Baseball
Entertainment – Celebrity Entertainment was unavailable on 8/19, so Pure Energy has agreed to do event for tips only – no fee. Minimum tips of $150 per DJ/MC requested.
Need 2 cash boxes w/ $200 each – 1 for membership and 1 for t-shirts/ponchos
Spirit shirts have been received. Carlyn agreed to keep the price at $5 per shirt and 1000 Blue Folders have been received. Old school t-shirts will be sold for $5 and ponchos for $8 while quantities last
Training / Seminars on Saturday, September 10th – for whoever wants to go. 8am – 1pm – at Piper High School.
- Broward Leadership Training, Free Admission, Continental Breakfast
All-Pro Dads – When does fee need to be paid? When does program start? Does Corey want to speak at General Meeting on August 31st?
- CreeAnn informed the group that the $25 annual fee has been waived
- The $75 fee is for a promotional kit and does not need to be purchased at this time
- CreeAnn and Corey will discuss further
PTA Dues Increase – Dues have been increased to $6, but still must be voted on and approved at first General Meeting. * Will be voted on at the general meeting
Car Charger / Air Compressor for Custodians - $50 – Purchase? Give at BTS Lunch?
- Approved by PTA, Randi 1st, Katie 2nd
School Magazines –
Have been ordered and payment is due 8/31/11
Must get final count of students for each grade to send to magazine companies first week of school
Fundraiser -Packets are in, must be put into class bundles to be ready to be delivered to classes 2nd week of school.

- Not sure of class sizes yet
Tires for Marty Cart – CreeAnn toget check to Purchase from Harbor Freight
- The cost is $8 each tire
Sam’s Club – added Dana to account and also added two cards – one for CreeAnn and a ‘floating’ card for others to use as needed – this card can only be used with PTA check or cash.
- The cost of each pair of Sam’s cards is $35
- Dana, CreeAnn and Jan have membership cards and one floater card
Floors cleaned and polished? – Last year we cleaned out the PTA room so that the custodians could polish the floor. Do we have the time and manpower to do that this year? Must clear out boxes first.

- Will give the clothing donations to local charities, possibly the PTA Clothing Bank
