POSITION OBJECTIVE

This position aims to provide a customer focussed immunisation service and ensure the program meets the needs of the community. The position will also assist with the day to day operation of the Environmental Health team.

KEY RESPONSIBILITIES

1.Immunisation Services

  • Assist in facilitating Council’s immunisation service to the community.
  • Maintain accurate computerised records and data pertaining to the immunisation program.
  • Maintain the operation of the IMPS Immunisation Program, ensure all data is processed and up to date.
  • Maintain and review administrative procedures to facilitate efficient and effective processing and recording of all matters relating to the Immunisation Service.
  • Attend public immunisation sessions (including after-hours sessions) and undertake administrative duties associated with processing of records.
  • Arrange the immunisation calendar each year and liaise with venue contacts to ensure venue availability and access on required dates.
  • Participate in relevant immunisation meetings, committees and networks.
  • Ensure adequate immunisation supplies are available at each session such as vaccine and equipment to ensure consistent and effective service delivery.
  • Issue School Entry Immunisation Certificates as required.
  • Asist in responding to customer requests relating to immunisation catch up advice.
  • Maintain personal and confidential information in accordance with privacy legislation.

2.Planning and information

  • Ensure the provision of accurate and relevant advice on immunisation matters to the community.
  • Maintain statistics on infant and school immunisation programs and participate in continuous improvement projects aimed at increasing coverage rates within Manningham.
  • Take pro-active measures to identify areas of low uptake for immunisation and develop strategies to increase participation in the program
  • Promote and raise the communities' general awareness of the immunisation services available through Council.
  • Ensure that standard correspondence and reminder letters are sent to parents/guardians of children involved in the Council operated immunisation program.

3.Staff Management

  • Assist in the preparation of staff rosters to ensure immunisation sessions are staffed by appropriate level of staff and capabilities.
  • Ensure the immunisation team members maintain full awareness of current Council policies and legislative provisions including any changes that impact on the service provision
  • Conduct regular team meetings and ongoing training to ensure staff remain up to date with any changes.

4.Environmental Health Services

  • Provide assistance in the general operation of the unit and other duties as assigned by the Co-ordinator of Environmental Health Services.

5.Administration

  • Provide General Administration Services.
  • Attend to telephone and counter enquiries on behalf of the Environmental Health and Local Laws Service Unit.
  • Assist with the delivery of correspondence to residents / ratepayers / proprietors in relation to Environmental Health & Local Laws matters.

POSITION REQUIREMENTS

Accountability and Extent of Authority /
  • Accountable to the Coordinator Environmental Health for carrying out of duties and responsibilities as directed.
  • Ability to supervise resources and new employees.
  • Responsible for providing specialist advice to clients with the freedom to act in accordance with clear guidelines.
  • Responsible for ensuring the Council’s compliance with all relevant legislation and other statutory requirements.

Judgement and Decision Making /
  • The ability to work within clearly defined procedural guidelines.
  • Required to exercise professional judgement and decision-making aimed at achieving well defined corporate goals and objectives, and the objectives of relevant legislation, codes of practice and guidelines.
  • Ability to apply problem solving skills to improve operating procedures using professional knowledge, experience and technical abilities.
  • Ability to recognise opportunities for change within a Quality Management System.
  • Ability to recommend catch up programs and immunisation schedules for individual cases based on The Australian Immunisation Handbook and on advice from the Immunisation Nurse or Department of Health.

Specialist Knowledge and Skills /
  • A working knowledge of the Immunisation Program System (Imps).
  • Demonstrated knowledge of cold chain procedures for vaccine transport and storage
  • Excellent computing skills including knowledge of Microsoft office suite.
  • A working knowledge of TRIM and Customer Feedback Systems is highly desirable.
  • Understanding of the underlying principles of immunisation and the prevention of infectious disease in the community.
  • Sound knowledge and understanding of the National Immunisation Program Schedule and immunisation guidelines.
  • Understanding of the long term goals of immunisation and the relevant policies of the service and the organisation.
  • A willingness to work towards continuous improvement as defined in the council’s quality assurance system.

Management Skills /
  • Ability to manage time, set priorities, plan and organise ones work in order to and achieve set objectives and targets within set timeframes.
  • Understanding of and ability to implement personnel practice relating to equal employment opportunity, occupational health and safety and employees training and development.
  • Demonstrated ability to work with minimum supervision.

Qualifications and Experience /
  • Experience in the provision of public immunisation services
  • A degree in Health Science or similar qualification is desirable.
  • Experience in administration and clerical procedures.

PREREQUISITES

  • Drivers licence valid in Victoria
  • Police check
  • Working with Children Check (and/or willingness to complete check)
