MANAGER, GROUP DIRECTOR’S OFFICE
Reports to:Group director
Responsible for: Executive and personal assistants (within the GDO)
Salary range:Circa £50,000 per annum
Based at Coin Street neighbourhood centre, 108 Stamford Street, South Bank London SE1 9NH
The Group Director’s office sits at the heart of the organisation. It is a dynamic and exciting place to work and we need an energetic and organised self-starter to help support our work. The role will sit within the Group Director’s office and will support the Leadership team by providing a mix of executive and administrative support and project management. The Leadership team comprises the Group director, deputy Group director, director of community, and chief financial officer.
Key responsibilities
- Line manage and supportGDOexecutive and personal Assistants.
- Effectively manage day to day GDO business, ensuringthat best use of time is made and all relevant information available when required for key decisions.
- Develop a thorough understanding of Leadership team priorities and ways of working, and represent its members effectively to internal and external stakeholders.
- Identify and resolve issues which can be managed without the Leadership team’s direct personal involvement.
- Provide high level administrative support on confidential matters, undertake research and compile information, and conduct correspondence across a wide range of issues.
- Project manage specific streams of work, and co-ordinate managers in other teams to deliver cross-organisational projects.
- Develop, manage and coordinate administrative services across the organisation, liaising with others to improve systems and processes as necessary.
- Ensure the smooth running of all Board, Leadership and Management team meetings, commissioning and circulating papers, taking minutes when required, chasing actions, and managing all logistical arrangements.
- Ensure organisational compliance with mandatory and statutory requirements.
- Ensure the organisation’s emergency planning, business continuity and health & safety plans remain up to date and understood by all staff.
- Undertake such other activities as the Group director may reasonably require.

PERSON SPECIFICATION
Knowledge and experience
- Proven experience of working in a similar role and of providing high level corporate support
- A demonstrable ability to liaise effectively with employees and external stakeholders at a variety of levels, communicating with clarity and confidence
- A good command of the English language and a proven record of accurate minute-taking
- A demonstrable ability to research, analyse and summarise information
- Proven project management skills
- Experience of ensuring organisational compliance
- Successful experience of managing a small team
- Excellent level of proficiency in Outlook, Word, Excel and PowerPoint

- Assertive and proactive, with the ability to work on own initiative with little supervision
- Ability to prioritise workloads, work to deadlines, and work under pressure – managing competing demands effectively
