Equality Myanmar (formerly HREIB) seeks a committed and enthusiastic person to join our team asExecutive Director’s Secretary. This position is full time and starts as soon as possible.
Organization Background
Equality Myanmar (EQMM), formerly known as the Human Rights Education Institute of Burma (HREIB), is a nongovernmental organization that facilitates a broad range of human rights trainings, advocacy programs, and research and documentation projects which target civil society organizations and grassroots communities. EQMM is dedicated to raising widespread awareness of human rights in order to empower the people of Myanmar to engage in social transformation and to initiate rights-based solutions to social problems.
EQMM was founded (as HREIB) in 2000. The organization now maintains its head office in Yangon with a field office in Mandalay and human rights education operations throughout the country. EQMM’s core program and projects focus on human rights trainings and workshops, capacity building for civil society, facilitation and implementation of advocacy activities, networks and campaigns, and production of human rights print and multimedia materials, as well as research and analysis on topics relevant for its education and advocacy activities.
Position Overview
Based in Yangon, the Executive Director’s Secretary will be responsible for the management of Executive Director (ED) activities. The ED’s Secretary will oversee a variety of programs and advocacy activities that will be implemented around the country. The position will require occasional travel outside of Yangon.
Duties and Responsibilities
Administrative Management and direct support to ED
  • Take full responsibility for managingExecutive Director's calendar and inform him in advance of any rescheduling, keeping M-Com informed of any major scheduled events and changes in planning.
  • Make sure Executive Director’sappointments are arranged as per planned.
  • Act as a focal person for meetingappointments and set up working lunches, dinners for Executive Director
  • Arrange logistics for Executive Director’s travels, accommodation and making travel claims
  • Ensure Executive Director’s keeps a manageable number of meetings, training, and press conference in his calendar and check with him on urgent event requested by media, and send request on his behalf.
  • Making sure Executive Director has the necessary paper in hand for a meeting or a trip and make sure the documents are in place
  • Maintain and update address book of network lists such as media group, Civil Society Organization, International Non-Government Organization, Local Non-Government Organization, travel agency, in land hotel list and etc.
  • Recording photosor video clips of Executive Director activity and maintain a picture/video repository in chronological order
  • Record, receive and dispatch the courier pouch as necessary
  • Answer incoming telephone calls and record messages forExecutive Director
  • Organize internal and external meetings, takes meeting minutes and communicates the outcomes and decisions to ED and M-Com (DD).
  • Transcribe the executive director’s interviews with Medias, and ensure to post it to organization website and social sites;
  • Develop and implement a communication strategy to increase and maintain EQMM public visibility with support from the Development Manager and Deputy Director;
  • To handle the financial management task such as advance request, reimbursement and expense reports for the activities which are conducted by Executive Director
Reporting:
  • Record, transcript and send Executive Director monthly activity report to EQMM Deputy Director and Development Team not later than 7th of the month
  • Record, transcript and send Executive Director monthly time sheet to EQMM Deputy Director and Operations Team not later than 26th of the month
  • The expense report should be submitted to Finance department not later than 7 day after the completion of activity done by Executive Director
Travel, Safety and Security:
  • To travel alongside Executive Director within country
  • Monitor security conditions and advise/inform to Executive Director on any security condition changes, response measures, procedures and contingency planning.
  • Immediately inform Deputy Director and Operations Manager in case of security breaches or any concerning changes in safety conditions re: the status of the Executive Director.
  • Manage the operational and planning aspects of safety and security on traveling in the country
Others:
  • Undertake any duties assigned from time to time by supervisor.

Required Qualifications and Skills
  • Myanmar National
  • Minimum 3-5 years working with a human rights NGO or comparable relevant experience
  • Postgraduate degree in human rights, law, political science, social science, international development or other relevant fields or equivalent experience
  • Knowledge of the political situation in Myanmar
  • Excellent written and verbal English language and general communication skills
  • High computer literacy in MS words, Excel spreadsheets and Power points
  • Creative, independent, and highly self-motivated
  • Flexible, able to work under pressure, innovative, and a team player
  • Strongly committed to human rights, social justice, and peace
