MAJOR DUTIES AND RESPONSIBILITES

Duties may include, but are not limited to:

Human Resource Operations

  • Provides administrative support to the Human Resources Director on all personnel matters.
  • Performs customer service functions by answering employee requests and questions.
  • Responsible for completing various research projects and/or special projects.
  • Schedules meetings as requested by HR Director.
  • Verifies I-9 documentation and maintains books current
  • Makes photocopies, faxes documents and performs other clerical functions.
  • Prepares new employee personnel files. Maintains confidential employee personnel files
  • Maintains human resource information system records and compiles reports from the database.
  • Performs other Human Resources duties as assigned.

Compensation & Benefit Administration

  • Assists with annual open enrollment period during 4thquarter of each year.Arranges for distribution of material from carriers, assists with communicating changes to employees and arranges for on-site representation by providers. Conducts employee presentations, processes changes within set deadlines.
  • Serves as back-up payroll and benefits administrator in absence of other HR personnel

Talent Acquisition / Retention

  • Checks references prior to job offers being extended, performs pre-employment screenings, and job offer forms.
  • Submits the online investigation requests and assists with new employee background checks.
  • Schedules new hires for Orientation.
  • Assists with administrative duties (printing paperwork) for new employee orientations, etc.
  • Verifies I-9 documentation and maintains that they are current

Team Culture / Employee Recognition

  • Ensures appropriate cards are sent to the employees in a timely fashion (new hire, anniversary, sympathy, etc).
  • Participates in employee team-building planning and execution

General Administrative

  • Processes and distributes mail.
  • Operates multi-line telephone system using proper business telephone etiquette to answer and forward incoming calls; directs calls to appropriate person; takes and relays accurate messages in a timely manner;
  • Performs a variety of general clerical duties such as typing, filing, document preparation, copying, copy machine maintenance, etc. for owners, managing partners, and directors.
  • Other Administrative Support duties as assigned.

ORGANIZATIONAL RELATIONSHIPS

Reports directly to the Director of Human Resources. Maintains relationships with other department heads within the company. Maintains relationships with suppliers, vendors, and others serving the company or the properties.

QUALIFICATIONS

  • Minimum of Associates Degree required, Bachelor’s Degree preferred.
  • Three to four years of related experience preferred.
  • Exceptional communication skills, both verbally and in writing, and ability to interact in a professional, courteous, cooperative, tactful, and patient manner with residents, FPM employees, owners, vendors/suppliers, and members of the public.
  • Self-motivated to work independently with little guidance.
  • Good time management skills.Ability to multitask, prioritize and flexibility to adjust work priorities as necessary.
  • Good organizational skills, attention to detail, and retention skills required.
  • Capacity to make sound decisions
  • Excellent telephone etiquette.
