Martin approved the minutes of the last meeting
4. Matters Arising
Accreditation
Gavin Smillie and Martin are working on this together and will fill in the paperwork, MC to check email sent by Gavin Smillie and merge with information from K Swain. Gavin reported that our RDO Julie Swann has been replaced and we will be meeting Matt Bray on the 17th of August at 10am Martin said he would attend. / MC
M&Js kit
Photos with the sponsors will be organised by the teams, The Colts will invite Andrew Whitehouse to attend the ‘Big Push’ in the next few weeks and Laura Moss will ask Natt of Eleos to come along to a training night to get some photos. / MC

Tag Rugby
This event will not go ahead until next year and it has been put for discussion in Feb planning for end of the season, possible May bank Holiday.
Tara will organise a calendar of events for the next meeting including the Summer camp / TS
Coach for under 8s
The under 8s coach has still not been appointed and options for the beginning of the season was discussed, Laura Moss said she was happy to get the U8s going at the beginning of the season in the head coach role with help.
Martin said he would hope one of the parents will volunteer to get involved and he hoped that Florence Busby could be persuaded to get involved.
Chris Bond has said via Gavin Smillie he would be available as a stand in coach should he be required / LM
Finance (Andy Treble)
Andy Treble reports that the bank balance is currently £1906 He has paid out for the kit and balls and the only thing left to get is the first aid kit. Andy said that he is not expecting any more major expense before sign up day.
Andy has started the process to get internet banking and requires Martin and Matt to sign some forms for the bank.
Gavin Smillie said that the M&Js can use the card machine for any of their transactions including membership he asked that an M&Js reference was put on the back of the merchant copy so Nigel and Andy can balance the books.
Safe Guarding
A number of new coaches require DBS and have sent in their details, Martin will contact Kat Swain to see if she needs any more information or any help to process.
Kat asked that the coaches read the club safeguarding policy via a facebook post, this document is available on the club website and on the FB page.
Fixtures
Tara will again sent out the booked fixtures list and will populate pitchero.
Laura asked about the availability of pitches so she can book home games for the under 15 girls, she was told that unless the games are booked on Pitchero then the club doesn’t know about them.
Coaches and managers
Martin offered to help the Under 15 girls with lineout drills as this will be new to them
Laura would like to do level 1 and Andy said the club would be happy to pay.
Senior Club (Gavin Smillie)
The main pitch is still not available for training and teams are being encouraged to make use of the ¾ pitch on the school grounds along with the trim trail. The main pitch is suffering from a plantain infestation and the team are working on this. Gavin was asked if these weeds had been introduced by contamination but it is not thought they are.
The Club have invited three south African players over to experience playing rugby in Somerset and this should be finalised in the near future.
The overall club finances are really stretched at the moment as we have had higher expenses than normal including the upfront payments for the Wurzels event.
The Wurzels are booked at the club on the 13th of August and Simon Mainwaring has been asking for volunteers to help on the night. He will be looking for about 40 volunteers he would be happy for the colts to help. This event is raising money for the club so he hopes that there is a good response.
Andy asked what changes Nigel Tinley has introduced to date as new treasurer and Gavin reported that he has started internet banking and has got in the card machine with contactless and Apple pay facilities. Nigel is trying to streamline the whole club finances.
Gavin feels that sponsorship is down and the sponsorship team is working hard to encourage companies to get involved.
The district council have been sent the paperwork required to get a rating for the kitchen.
AOB
Matt Bowditch will be organising the Exeter Chiefs trip again and has pencilled in Exeter V Bath on the 30th of October this will have to be confirmed. Gavin said that he is happy for card payments to be taken for this trip.
