JOB DESCRIPTION

Post Title: Examinations Officer

Based at: Fairfield School of Business, Katherine Street, Croydon, Surrey CR0 1NX

Job Purpose: The Examinations Officer is responsible for the administration and organisation of all aspects of external and internal examinations in accordance with the regulations laid down by the awarding bodies.

Key responsibilities (including but not limited to)

  • To manage the process of student assignment submissions.
  • To collect the grades and examination results from internal and external markers and record them accurately in the results database.
  • To co-ordinate the external markers (if any) in liaison with Course Coordinators.
  • To manage the running of external and internal examinations.
  • Making arrangements for internal examinations, including the production of the timetable, rooming and invigilation and ensuring that all required materials are in the examination rooms for the start of the examinations and arrangements for candidates with special educational needs are in place.
  • Resolving examination clashes in accordance with regulations.
  • Briefing candidates on examination regulations and producing written guidelines for staff and students; ensuring candidates are aware of their own examination timetables.
  • Arranging invigilation, including briefing and training invigilators in school procedures.
  • Organising special educational needs provision, including liaising with the Course Coordinators and Lecturers regarding candidates with special educational needs; applying to awarding bodies for special arrangements for such candidates.
  • To be responsible for the security of exam, test papers and assignments and to ensure the safe and efficient despatch of scripts and other materials to the examination boards, examiners and moderators.
  • To service and advise the School Examination Boards.
  • Following the boards, to ensure prompt production of award and progression lists, minutes of the Board’s decisions and correspondence to students, and ensure that follow-up action is taken wherever necessary.
  • To work efficiently on any queries, re-mark requests and missing marks following results day, including assisting students in clarification of grades and making contact with exam boards and awarding bodies as necessary.
  • Disseminating information, answering enquiries and dealing withcomplaints regarding external and internal examinations with staff and students.
  • Submitting entries for external examinations to awarding bodies in advance of deadlines.
  • Being present and available in school on the days when results arenotified, and overseeing the distribution of results to candidates.
  • To be responsible for the security and distribution of transcripts and award certificates.
  • Ensuring that costs of retakes etc are reimbursed by candidates/departments, as appropriate.
  • To implement, adhere and assist in development of the Examination Policy for the School.
  • To archive all students assessments and results accordingly.
  • Providing reports and statistics on examination entries and results.
  • Encouraging a positive examination culture in the school to which allstaff and students subscribe.
  • Keeping up to date with the requirements of the role. Ensuringattendance at appropriate awarding body trainingmeetings, etc and keeping up to date with the latest procedures andregulations for external examinations.
  • Any other reasonable duties as commensurate with the grading of the post.

PERSON SPECIFICATION

  • Must be ICT literate and able to use the internet, eg consult websites,access information, download material/make entries electronically,operate the school’s database, produce and operate spreadsheetpackages, produce analyses, use email.
  • Have good, written and verbal communication skills and be able torelate well to school staff, students, awarding bodies.
  • Be able to prioritise and manage workload.
  • Be able to work in an organised and methodical way and have soundorganisational and coordination skills.
  • Be able to work accurately and to deadlines.
  • Be able to work effectively under pressure.
  • Be able to maintain confidentiality.
  • Have good supervisory skills (if appropriate).
