Before you login, it is a good idea to save eStart to your favourites within Internet Explorer OR create a shortcut to eStart on your Desktop

Saving eStart as a Favourite

/ Enter the URL for eStart within the Address Bar at the top left -
/ Press ‘Return’ (Enter) on your keyboard
/ You will be taken to the eStart Login page
/ Click on theat the top right of the page and click ‘Add to Favourites’
/ The ‘Add a Favourite’ dialog box will appear and click on ‘Add’ to add to your Favourite list.
/ To view your favourites, click on the eStart will appear within the list
Creating a shortcut to your Desktop
/ Enter the URL for eStart
/ Press ‘Return’ (Enter) on your keyboard
/ You will be taken to the eStart Login page
/ Right click the mouse whilst on the eStart login page –a menu will appear
/ From the menu, select ‘Create shortcut’
/ A pop up window will be displayed with the message ‘Do you want to put a shortcut to this website on your desktop’, click ‘yes’
/ View the Desktop and you will see the eStart icon
Logging ON
/ Click on the eStart link or icon
/ Insert your Username and Password
/ Click Login
Logging OFF
/ Click to log out of eStart
/ Click to close Internet Explorer

Youth – SearchingeStart
Before attempting to enter a new family/young person it is essential to undertake a thorough search. Failure to comply with this approach could result in duplication of family records causing inconsistencies in data quality, statistics and reporting and ultimately impacting the performance management targets.
The results will show members within your District. To view members outside of your District, remember to affiliate
Search
/ Once logged in, click on ‘Search’
/ Before adding an individual to eStart, you must make sure that you use the different search options
/ Use each search option individually. After each search option is used, click the ‘Reset’ button to clear the search:-
  • ‘first name’ and ‘surname’
  • ‘DOB’
  • ‘Postcode’
  • ‘Member ID’
  • ‘Family ID’
  • ‘Advanced Search’
  • Use a ‘Wildcard’ %
  • To ensure your search covers the widest possible area, leave the Settings box on ‘All my Settings
  • Make sure that ‘Both’ is selected

/ IF the individual is found on eStart, check their record and amend eStart if necessary
/ IFthere is another individual living at the same address, view their record
/ IF it is the same individual, update their record if necessary
/ IF it is not, click ‘ Add Family’
/ IF there is someone with the same name, within another District you will see the following message ‘Possible matches in other settings’, click on the red text to review results and affiliate their record
/ To view all family members connected to the young person, click ‘All Members of the Family’

Youth – Adding a Family UniteStart
In eStart, the first step is to create the family unit by entering a valid Postcode. The Carer is the person who is the emergency contact for the young person. The young person is the Child
Once the family record has been created, the record will be given a unique identifier. Once the Carer and Child have been created, each will be given a unique identifier
Adding a Family/ Carer/Child
/ Once a thorough search has been done and the family cannot be found on eStart, click ‘Add Family’
/ Enter the postcode click ‘Lookup’
/ Select the address if it is found
/ IF only part of the address is found, select the address and enter the house number or name within the ‘House Number’ field
/ IF the address is not found, contact ICT to add the address to eStart. ‘Cancel’ the insert. Once the address is added, then start adding the family again
/ DO NOT add any phone numbers in the ‘Home Number’ field
/ Click ‘Next’
/ IF a message appears ‘Family residing at this address’, either click ‘Add a new family’ to add the family OR click ‘’Select’ to view the family (if ‘Select’ and it is not the correct family, then you will have to start adding the family again. If it is, please ask your Business Support Officer to disable the other family
/ DO NOT change the ‘Setting’
/ Affiliate your Youth Hub – click ‘Update Affiliations’ and click on your District Youth Hub.
/ Click ‘Next’ and ‘Next’ again to ‘Add Children and Carers’
/ IF you get logged out of eStart after you have added the address but before you have added the Carer or Child, the address will have saved and can be found by going back to search criteria and ticking ‘families without members’ and selecting search. You can then tickon the address to open it and add the carer and child details from the family screen.
/ Click ‘Add Carer’ to add the emergency contact person detailed on the membership form
/ Enter their ‘first name’ and ‘surname’
/ Relationship to the Child
/ Enter their number in the ‘Mobile Number’ field
/ If you do not have the DOB for the Carer you can leave this field blank
/ Untick ‘Send Correspondence’
/ Click ‘Next’
/ IF a message appears showing a match, either click ‘Select’ to view the person’s record OR If it is not the person, click ‘’Continue Adding Carer’
/ Click ‘Next’ to skip the Carer’s Special Needs/Disabilities
/ IF the Carer lives at a different address than the young person, you can add the different address here
/ Click ‘Next’ to show the Carer Smoking History page
/ Click ‘Finish’ and click ‘OK’. The Carer should now appear
/ Within the ‘Add Children and Carers’ page, you can add another Carer if necessary
/ Click ‘Add Child’ to add the young person
/ Enter their ‘first name’ and ‘surname’
/ Enter the ‘Gender’
/ Enter the‘Primary Carer’ (the Carer you have just added)
/ Enter their ‘DOB’ and ‘Ethnicity’
/ Click ‘Next’
/ Click ‘Update Special Needs’ and select the relevant options
/ Click ‘Update Disabilities’ and select ‘Yes’ if relevant
/ Click ‘Update Warnings’ if and select the relevant warnings eg. Allergy. The Warning will be applied to the Family Screen and against the child
/ Click ‘Next’ and ‘Next’ and then ‘Finish’
/ Click ‘OK’ to be taken back to the ‘Add Carer and Child’ page
/ Add another child if relevant
/ IF not relevant, click ‘Finish’ to be taken back to the Family page
/ REMEMEBER TO GO TO CUSTOM FIELDSTO COMPLETE THE PROCESS
Custom Fields
/ Once the family has been added, you must remember to go into the young person’s ‘Custom Fields’ to enter their ‘Education Status’, ‘Sexuality’, ‘Smoking’ and other information – if completed on the membership form
/ Within the ‘Menu Bar’, under the ‘Current Family’, click (+) against ‘Children’
/ Click (+) against the child’s name
/ Under the child’s name, click ‘Custom Fields’
/ Click ‘Update Custom Fields’ and a list of options will be displayed
/ Select ‘Mobile Phone Number’ and enter the mobile number in the ‘Notes’ field
/ Click ‘Save’
/ Select any further options as necessary, add ‘Notes’ and click ‘Save’ and ‘OK’. The record will be displayed at the bottom of the page.
/ Best practice is to select an option individually allowing you to enter a ‘start date’ and an ‘end date’ where necessary

/ Within the ‘Menu Bar’, under the ‘Current Family’, click (+) against ‘Children’
/ Click (+) against the child’s name

/ Click ‘Existing Contact’. A list of activities the young person has been involved with will be listed

Youth – EventseStart
Before any Event is added to eStart, a Service Proposal must be added to eStart. Once this form has been completed and agreed, the Senior Support Officer, Support Officer or Manager can insert the Event.
By default, your ‘Favourites’ will always be listed when looking at ‘View Event Types’
Adding Your Events to your Favourites
/ Click ‘Events’ on the ‘Menu Bar’
/ Click ‘View Event Types’
/ Within ‘Description’, enter the name of the Event (wildcards can be used)
/ Change the ‘Filter’ from ‘Favourites’ to ‘All’
/ Click ‘Search’. Relevant Events will be displayed
/ Find your Event and select the checkbox ‘Add to Fav’ at the end of the line
/ Click ‘Save Favourites’
/ Complete each time until your Favourites have been added
/ Click ‘Reset’ to be taken to your Favourites
Adding an Activity Date to your Event
/ Click ‘Events’ on the ‘Menu Bar’
/ Click ‘View Event Types’, your Favourites will be shown
/ Click ‘View’ against the Event to you want to add dates to
/ The ‘Past events for: your Event name’ page will be shown
/ Within the Menu Bar, click ‘Add Date – your Event name’
/ Enter the’Date’ of the Activity
/ Enter the ‘Start Time’ and ‘End Time’
/ IF it is an all day event, click the ‘All day event’ checkbox
/ DO NOT change the ‘Outcome Type’
/ Click ‘Save’. Your Activity date will be listed
Adding Several Activity Dates to your Event
/ Click ‘Events’ on the ‘Menu Bar’
/ Click ‘View Event Types’, your Favourites will be shown
/ Click ‘View’ against the Event to you want to add dates to
/ The ‘Past events for: your Event name’ page will be shown
/ Click ‘Duplicate’ against the date you which to copy
/ Click ‘Recurrence’. The ‘Recurrence(s) for’ page will be displayed
/ Enter the ‘Start Date’ – the next date in the sequence
/ Enter the ‘Frequency’ – Daily, Weekly, Monthly or Custom
/ Enter the ‘No of Days’ – remember if you are choosing weeks, this would be the number of weeks
/ The dates will be automatically populated within the ‘Event Dates’ field
/ IF weekends are included in your dates, select the ‘Weekends’ Checkbox
/ IF you have names already listed on the original date and you want these copied to these additional dates, select ‘Registrants’ Checkbox
/ IF you want additional dates, use the calendar tool and click ‘Add’
/ IF you want to remove a date, select the date within the ‘Event Dates’ field and click ‘Delete’
/ Click ‘Save’ to save the dates
Printing a Register
/ Click ‘Events’ on the ‘Menu Bar’
/ Click ‘View Event Types’, your Favourites will be shown
/ Click ‘View’ against the Event to you want to print a register from
/ The ‘All Events For: your Event name’ page will be shown
/ Click ‘Print’ against the date you wish to view. The Register will be shown
/ IF you want to print, click
/ IF you want to export to Word or Excel, click
/ Click ‘Back’ to take you back to the date list
Adding Registrants / Attendees
/ Click ‘Events’ on the ‘Menu Bar’
/ Click ‘View Event Types’, your Favourites will be shown
/ Click ‘View’ against the Event to you want to add dates/participants to
/ The ‘All Events For: your Event name’ page will be shown
/ IF someone is registering an interest in a future date, click ‘registrants’
/ IF someone attended a past date, click ‘Attendees’
/ In the search screen enter the ‘First Name’ and ‘Surname’, click ‘Search’
/ Within the ‘Search Results’ click the button against the person’s name. They will appear on the right hand side
/ If you are searching for more than on member of the same family select the
‘all family members’ button to bring up all members of that family.
/ IF a person has been added incorrectly OR you want to remove the name, click the button
/ Follow the same procedure to add more Registrants or Attendees
/ Click ‘Save’
/ IF names are added as Registrants, then after the Activity Date, you can select who attended and who did not. Thus showing who registered an interest and did not show.
/ Remember to add a Care Worker (staff member) to an Event date.

Youth – Events - OutcomeseStart
Outcomes can only be added to Activity Dates in the past that also have attendees listed
Once Outcomes have been added, the ‘Outcome’ button will show a bold outline
The same Outcome can be added for all those who attended or different Outcomes can be added to each attendee
Adding / Removing Outcomes
/ Click ‘Events’ on the ‘Menu Bar’
/ Click ‘View Event Types’, your Favourites will be shown
/ Click ‘View’ against the Event to you want to add dates to
/ The ‘Past events for: your Event name’ page will be shown
/ Click ‘Outcomes’. The attendees will be listed
/ IF you want to add an Outcome to all attendees, find the Outcome within the fields above – ‘Outcome Type’ and ‘Outcome’, select the checkbox against ‘Name’ to select ALL attendees. Then click ‘Apply to Selected’
/ IF you want to select an Outcome to several attendees, find the Outcome within the fields above – ‘Outcome Type’ and ‘Outcome’, select the checkbox against each name of the attendee. Then click ‘Apply to Selected’
/ IF you want to add a different Outcome to each attendee, find the Outcome within the fields above – ‘Outcome Type’ and ‘Outcome’, select the checkbox against the name of the attendee. Then click ‘Apply to Selected’
/ If you want to remove an Outcome, click ‘Edit’ against the name of the attendee. The ‘Individual Outcomes for your Event’ page will be shown. Select the date within the list, and click ‘Remove Selected’. This will remove the Outcome.

/ To view the Family Notes - within the ‘Menu Bar’, under the ‘Current Family’, click’ Notes’
/ To view the individual notes for the Carer – within the ‘Menu Bar’, under ‘Carers’, click the (+) against the Carer’s name. Click ‘Carer Notes’. The ‘Carer’ Notes page will be displayed
/ To view the individual notes for the Child – within the ‘Menu Bar’, under ‘Children’, click the (+) against the Child’s name. Click ‘Child Notes’. The ‘Child’ Notes page will be displayed
/ Notes may be added to the ‘Notes History’ tab and/or the ‘Confidential Notes’ tab
/ The ‘Summary’ tab displays both
/ Make sure the correct tab is displayed
/ Click ‘Add’
/ Enter the correct date – the date shown will be the current date
/ Enter the Care Worker if you are adding the note on behalf of someone else
/ Enter the text and formatting required
/ Click ‘Save’

‘Manage Lists’ allow users to conduct simple searches on family data and create mail shots in the form of labels or emails. The results can also be exported in Microsoft Excel or Word
