Examinations Invigilator (Pool Staff)

The postholder will be a member of the Examinations department.

Overall purpose of the post:

1)To provide a high quality service to all staff.

2)To provide operational and administrative support to the Examinations Manager.

3)To work with colleagues within the team and operate flexibly with tasks as required.

Duties and responsibilities:

In the first instance, your duties and responsibilities are listed below including the critical success factors relating to the post. As the needs of the College change, you will be expected to take on or relinquish responsibilities as directed by the Examinations Manager or Senior Leadership Team.

Critical Success Factors:

1)Smooth running of exams.

2)Successful audits of the exams provision.

Role specific responsibilities:

1)To be available to invigilate during the main examination series (early to mid November, and from early May until the end of June). Please note that other opportunities to invigilate may be available throughout the year.

2)To take responsibility for the conduct of a particular exam session in the presence of candidates, under the direction of the Exams Team.

3)To ensure at all times the safe custody of exam papers and other exam material.

4)To ensure that exam rooms are adequately prepared for examination purposes and ready to admit candidates at the scheduled time.

5)To ensure that all rules and regulations relating to the conduct of exams are strictly applied.

6)To deal with any emergencies that might arise during the exam.

7)Any duties that might be assigned by the Exams Team.

8)To monitor behaviour in the corridors outside of exam rooms to ensure that disturbances are kept to a minimum.

9)To maintain the security of items stored in the changing rooms by supervising the collection of bags at the end of the exam.

10)To assist in the exam in any way required.

11)To collect in valuable items which students cannot take into the exam room and any other items which are forbidden in the exam room.

12)To distribute valuables at the end of the exam and ensure that students retrieve only their own items.

Other Duties and Responsibilities:

In addition to those duties detailed above all invigilators are required to undertake the following duties:

1)To inform the Exams Office immediately if it becomes clear before the exams that he/she is unable to attend an agreed invigilation slot.

2)To Sign in and out at the Exams Office (a Health and Safety requirement).

3)To wear an invigilator’s badge at all times.

4)To adopt a suitable dress code. Wear shoes that do not tap or squeak when walking up and down the sports hall.

5)To report to the Exams Officeat least forty five minutes before the start of an exam to assist the Exams Team and attend the Team Leader’s briefing.

6)To familiarise themselves with the fire evacuation route according to the area of the college you are working.

7)To maintain exam conditions within exam rooms at all times.

8)To maintain the confidentiality of all aspects of the exams, especially relating to the students taking them.

9)To report to any instances of misbehaviour or malpractice to the Exams Office.

10)To ensure that all required posters, both inside and outside the exam room, and a clock showing the correct time are on display.

11)To set out seating labels and or exam papers as instructed by the lead invigilator.

12)To check candidate ID cards.

13)To be vigilant throughout the exam.

14)To collect exam scripts and stationary as directed by the lead invigilator.

15)To challenge anyone entering the exam room that is not known to them.

16)To attend mandatory annual training.

General duties and responsibilities:

The post holder is required to:

1)To perform his/her duties in accordance with the College’s Equal Opportunities Policy.

2)To ensure the health and safety of all staff and resources within his/her area(s) of responsibility, i.e. delegated responsibility in relation to the nature of the post holder’s duties and personal responsibilities as per Sections 7 and 8 of the Health and Safety at Work Act 1974.

4)To participate in the College’s annual Performance Management Review Scheme if required to do so.

5)To undertake Continuing Professional Development (CPD) relevant to his/her post.

6)To perform any other duties as may be reasonably required from time to time by the Principal, through the Examinations Manager or Senior Leadership Team.

Special features of the post:

The post holder must have the ability to work with a wide range of people in the 16-19 age groups, from different backgrounds and with very different needs, and to respond accordingly to support those needs.

The duties and responsibilities attached to this role demand a flexible approach to work, which may include occasional evenings, particularly during the College’s main examination periods.

The post holder will be required to adhere to a dress code as directed by the Examinations Manager.

The post holder will be required to sign and return to the Human Resources department a copy of their job description, which will be reviewed periodically.

Salary:

This post attracts an hourly rate of £8.57, which includes a holiday pay allowance.

Conditions of Appointment

Appointment will be on a casual basis to our pool of Examinations Invigilators on the following terms and conditions:

Working Week: / Hours of work will be variable and will be allocated on an ad hoc basis annually, through close liaison with the Examinations Team. It is expected that if you are allocated invigilation work that you will honour any commitment made to working on given days and at specified times, other than in exceptional circumstances.
Pension: / As this is a casual post you will not be eligible to contribute to the pension scheme for Support Staff.
Sickness and Maternity/Paternity: / As this is a casual post you will not be eligible to receive statutory or occupational sickness benefit.
Disciplinary & Grievance: / Details of the Corporation’s Disciplinary and Grievance Policies are available from the Human Resources department.
Disclosure and Barring Service Check: / Appointment is subject to you obtaining a satisfactory Enhanced Criminal Records Check through the Disclosure and Barring Service. The cost of this check is £44.00, which will be deducted from your first salary payment. The successful candidate will be required to provide relevant evidence to enable a DBS check to be undertaken prior to commencement of employment. Further details will be given upon appointment.
You will also be required to subscribe to the DBS Update Service at the time of applying for a new DBS Disclosure, if you have not already registered, and to maintain that subscription on an annual basis. The current annual cost to the individual is £13.
