Job Purpose
As Pastoral Manager you are expected to take responsibility for ensuring that the children and young people receive a level of day care which displays a commitment to the vision of Spark of Genius North East and communicate all matters relating to day care within the School to the Head Teacher. You will take responsibility for ensuring any circumstances where this is not the case, that it is brought to the immediate attention of the Head Teacher and addressed.

Ensure that all policies, procedures and practices reflect the schools commitment to the importance and value of the individual. It is therefore your task to challenge and change any policies, procedures or practice which is discriminatory or prejudicial and which does not reflect or promote the ethos of the school and ensure that they successfully reflect good practice and expectations of Spark of Genius NE, Ofsted, Independent School’s Standards and legal guidance.
Ensure that all children and young people are treated with dignity and respect, in an environment which reflects the importance of and their right to be treated as valuable worthwhile individuals.
Take every step necessary to ensure that our children and young people are protected from neglect, abuse and exploitation.
Where deemed necessary by the Head teacher - To support class teachers by assisting in classroom management and by providing basic supervision and day care skills in relation to students.
Assist in developing and implementing individual educational and behavioural programmes through the school’s inclusion triangle.
As Pastoral Manager you are expected to maintain strict confidentiality in all areas of your work.
Key Duties and Responsibilities
Managerial Responsibilities
- Contribute to the development and continuous review of policies which govern the operation of the school. Whilst enabling the staff team to remain actively involved in policy development.
- Attend and take an active role in all Senior Leadership Team Meetings.
- To take responsibility for the daily running and management of the school logging systems.
- Promote and maintain effective channels of communication within the school, organise and chairstaff team meetings, keeping agenda and minutes.
- Take responsibility for the monitoring and maintenance of student medication system ensuring medication is administered following organisational guidelines.
- Take responsibility for the monitoring of student attendance.
- Take responsibility for the monitoring of Restrictive Physical Intervention statistics.
- Contribute to the annual review process by providing appropriate reports in line with School policy and procedure.
- Attend LAC meetings where appropriate and provide appropriate reports in line with School policy and procedure.
- Co-ordinate and monitor the School’s ‘Complaints Procedures’ set up for our children and young people.
- With the Education Management team, ensure that all systems applied to budgetary matters are followed in line with organisational procedures.
- With the Education Management team, manage the health and safety of all within the residential/Education establishment.
- Ensure that reports submitted from staff are of relevance and of high quality.
- Have sufficient knowledge and understanding to fulfill the responsibilities for undertaking a management role within the school, developing the learning centre in line with the Head Teacher and Director of Operations within an agreed improvement plan framework.
- Supporting planning and leading a calendar of quality improvement activities which meet local and organisational needs.
- Contribute towards ongoing quality improvement and emergency call needs for the learning centre.
- Have a broad understanding of the ethos, values and policies of Spark of Genius and to place these at the centre of your and the practice of education staff.
- To have full awareness of the importance of the role of Pastoral Manager in Spark of Genius and adhere to sound professional values and practices at all times.
Outside Links:
- As Pastoral Manager you will be expected to develop and maintain links with the community outside of the school whilst also ensuring you form professional links with other agencies or professional bodies. As Pastoral Manager you must promote ‘Partnership’ with parents / families or carers.
- To escort children from and to home, to liaise closely with parents/carers, encouraging a partnership in the personal, educational and social and emotional development of the child.
- Forge links in the local community both formal and informal which will improve the service on offer to the young people.
- Work in partnership with local authorities, health professionals, careers Scotland and advocacy groups.
Safeguarding / Child Protection
- As Pastoral Manager you must ensure that you have adequate knowledge and insight into all applicable safeguarding and child protection policies and guidance. To act as School Designated Safeguarding Officer - To undertake this role you will be required to complete Spark of Genius NE training as well as Local Authority Training as a Child Protection Officer for the school.

Deployment, support and supervision of staff
- Assist in ensuring adequate levels of staffing are available at all times, participating in the selection and appointment of staff.
- Ensure you are accessible to all members of the staff team.
- Establish a clear network for the delegation of responsibility within staff team, which is both effective and demonstrably accountable.
- Ensure adequate support and direction is given to all members of the staff team so that they may carry out their delegated duties effectively.
- Ensure all staff are aware of their responsibilities in relation to adherence of policies.
- In conjunction with HR and Company procedures, implement and maintain a system of structured supervision and appraisal of staff which is both evaluative and developmental and one which promotes good practice.
- Support the writing and fulfilment of day pastoral care systems and rota’s (e.g: breaks, lunchtime etc).
- Have sufficient knowledge as to promote professional, firm and fair relationships among all staff at Spark of Genius whilst adhering to professional standards at all times.
- Take forward issues of grievance and discipline and undertake investigations as needed in relation to care.
Staff Development
- Assist the Head Teacher in ensuring that both the personal and professional needs of the Pastoral and SSA staff are identified and as far as possible catered for.
- Identify the training needs of Pastoral and SSA staff so as to promote their personal and professional development.
- Organise or assist in the organisation of training events both within school and outside from which staff members will benefit.
- To motivate and enable staff members to meet their full potential as effective practitioners of ‘High Quality Pastoral Care’.
- To deliver, where appropriate, INSET for Pastoral and SSA Staff.
- To operate the schools Internal Quality Assurance, Monitoring and Self Evaluation procedures for Pastoral and SSA staff including appraisal and supervision strategies.
- Regularly review the CPD needs, career development and performance of all residential staff.
- Ensure that the organisation’s framework for Team Teach and the recording of Safe Holds is adhered to by all education staff at all times.
Personal Responsibility:
As a Pastoral Manager you must take a personal responsibility for ensuring you cater for your own training needs, and that you remain aware of all current issues in your field of work. You are expected to discuss your work in supervision and appraisal with the Head Teacher.
General
- Responsibility for ensuring and promoting the safeguarding of any young people that you may come into contact with.
- Work in accordance with Spark of Genius vision and aims
- Promote a positive, caring environment which focuses upon and addresses the needs of each individual child or young person.

- Support the Head Teacher/Director of Operations to ensure that all serious incidents and accidents are recorded and reported according to organisational procedures.
- Ensure that staff and young people are given a debriefing opportunity after any serious or safe hold incident.
