Project Coordinator

Location: Based inBethnal Green

Salary: £21,000 – £25,000 per annum pro rata

Contract type: Full Time (37.5 hrs pw)6 months fixed term from Feb 2018with potential to extend.

We are looking for a key individual to join our fun, friendly and busy team for an interim period, to supportproject delivery. We are growing at the moment, building new programmes and maintaining and expanding existing networks across England. Like everything at Spice, the work is fast-moving, creative and varied and you’ll be an integral support for the team.

Purpose of Post

This role will provide operational support to Spice projects as required, working closely with the Project Managers to support networks of community, public and private sector organisations and achieve maximum impact.

You are methodical, organised, consistent and reliable. You work well with others but are equally adept at seizing the initiative and developing creative and effective solutions to the task at hand. You enjoy working as part of a team and are personable when dealing with enquiries from the public. You are good at building relationships and are passionate about supporting positive change in communities.

Role description:

Relationship Management

  • Respond to support enquiries, information requests or complaints by email or telephone, sending out appropriate information or triaging to another team member where appropriate
  • Support Project Managers to help staff and community groups implement the Time based currency with information, guidance and ad-hoc support
  • Liaising with and supporting key delivery leads in external organisations

Administration & general programme support

  • Lead on the distribution and return of Spice Time Credit notes and resources
  • Lead on administration tasks associated with project meetings e.g. finding dates,writing and sending agendas and minutes
  • Supportquarterly monitoring data collection and inputting
  • Assist community groups and partners on using our online reporting systems
  • Collating data and supporting the preparation of reports to funders and other partners
  • Ensuring filing systems are kept up to date – both digital and paper based

Communications and events

  • Produce marketing materials and tools including online newsletters and posters
  • Collecting and publishing offers on to timecredits.com and promoting on social media
  • Coordinate and supportevents and training, including management of mailing lists and registration, logistics, printing of materials,venue and catering booking, on the day deliveryetc
  • Support the production of resources to support programme delivery such as toolkits, training slides

Skills and Experience

Essential

  • You are confident working independently and can plan and prioritise your own workload to meet agreed deadlines
  • You are IT literate with strong knowledge of the MS Office suite, including word, powerpoint and excel as well as other administrative platforms, including Mailchimp, Eventbrite, etc.
  • You are a team player as well as being able to work on your own initiative
  • You are outstanding at building rapport and developing productive relationships
  • You have experience of implementing new processes and systems
  • You have experience of administration in a fast-paced environment
  • You have some events experience
  • You have experience of liaising with external contacts, businesses and services
  • You provide a polite and helpful first point of contact for stakeholders
  • You have strong written and verbal skills
  • You have a strong eye for detail
  • You are comfortable using social media platforms such as Facebook and Twitter

Desirable

  • You have experience of account management with external stakeholders
  • You have experience of data entry
  • You have experience of event management and coordination
  • You have experience of working across sectors to deliver projects
  • You have experience of working with the voluntary and community sector
  • You have experience of working with employment and skills services

Other Relevant Information

  • You will need to be flexible regarding working hours and location. Evening and weekend working will be a small but important part of the role.
  • Ability to travel independently in line with programme delivery needs
  • This role is subject to an enhanced Disclosure and Barring Service (DBS) check
  • This role sits within pay band 5, Coordinator London (£20,000-£27,000)
