2.4.1 / ACCOUNT MANAGEMENT
2.4.1.1 / Are you a State of Indiana based auction company? Provide full address of your corporate office location.
2.4.1.2 / Provide a full description of your auction company staff structure, including positions and functions of the staff.
2.4.1.3 / Indicate the name of the executive responsible for quality assurance and profession live auctions. What role does this person play in the actual live auction process?
2.4.1.4 / How is your corporate office staffed and how will your company staff a live auction function at a State facility?
2.4.1.5 / In what States is your auction company associated in? Provide references from other States where you have conducted live auctions.
2.4.2 / CUSTOMER SERVICE
2.4.2.1 / How does your company measure/maintain quality of service?
2.4.2.2 / Provide a detailed description and recent examples of a successful live auction.
2.4.2.3 / Provide a detailed description of your registration process for live and online auction bidders.
2.4.2.4 / Provide a detailed description of your auction day process, what occurs, and what actual services are provided. Please be specific.
2.4.2.5 / What is the expectation of State employed representatives responsible for the sale conducted through the live auction?

2.4.3.1 / Provide a detailed description of how you complete a sale and what documents are provided to the buyer and the State to ensure all steps in the sale procedure were completed.
2.4.3.2 / Describe and attach examples of the reports that will be generated for the State to formally document all sales that were completed. Be specific to outline what detailed information will be provided as well as the timeline to receive these reports.
2.4.4 / AUCTION SERVICES
2.4.4.1 / How will live auctions conducted for the State be advertised and marketed to ensure that there will be a competitive bidding environment with a diverse group of potential bidders?
2.4.4.2 / Provide your detailed approach to an Auction Brochure, specific to the sale. Attach an example of a brochure from a previous auction.
2.4.4.3 / Outline the specific services that are included in a live auction of vehicles (vehicle descriptions, pictures, lot marking, etc.). Be specific on the services you will provide and what the State is expected to provide.
2.4.4.4 / Describe the steps that are taken in the actual sales process once the winning bidder is identified for each vehicle. This should include how the steps taken will provide the State with the documentation to show a complete and transparent audit trail of each sale.
2.4.4.5 / Provide a list of the specific payment methods that will be allowed with the buyers.
2.4.4.6 / What are your normal terms and conditions of the auction?
2.4.4.7 / Describe how online bids work in simultaneously with the live auction.
2.4.4.8 / Outline the pickup/removal process of the vehicles sold. Information should include how vehicles are loaded and removed, and the timeline for complete removal of all vehicles.
2.4.4.9 / Does your organization have a certain quantity of vehicles or an expected value of the entire sale that must be met in order to meet your live auction criteria?
