Notice of Special General Meeting

Location: Yarra Glen and Lilydale Hunt Club

Purpose:

To vote on the following motion:

To proceed with merger activities supporting the amalgamation Of Lilydale & District Horse and Pony Club (LPC) with Mooroolbark Pony Club (MPC), with the newly merged club to be situated at the Hunt Club Grounds, Melba Hwy, Yering

Background:

Mooroolbark Pony Club (MPC) is obliged to relocate from their current grounds in Mooroolbark to allow for the redevelopment of the land as part of the Cave Hill Urban Renewal Project. The Mooroolbark Committee have been holding discussions with Lilydale Pony Club and it is their preferred option to merge with Lilydale pony club at the Hunt Club grounds.

Mooroolbark has 26 riding members and the merge would not only increase our club members to make it a stronger club with a greater unity amongst riding groups but also bring with them approximately 40 show jumps, tractor, two trailers, slasher, over 70 cross country jumps and other outdoor equipment plus kitchen equipment and more parents to provide support roles in the running of a pony club. The new merged club would be a strong club in the region.

Mooroolbark Pony Club currently have a submission in with Sibelco quarry to support the costs associated with their relocation, including the cost of a surfaced arena. The decision on the level of funding is yet to be determined. Both clubs would be involved with assistance in providing labor to relocate these facilities.

Lilydale Pony Club is continuing to enter into an agreement with three other Equestrian clubs to form the “Yarra Valley Equestrian Group” (YVEG) who will jointly develop and manage the proposed new Regional Equestrian Park. This is a major task that will involve a substantial commitment from both clubs members.

Principles:

If this motion of merger is carried at the Special General Meeting, the Lilydale Pony Club Committee will continue to hold discussions with Mooroolbark Pony Club regarding the merger, looking to be fully merged into a new club in early 2015. As already indicated a second Special General Meeting will be held to vote on issues relating to the new club including: name, uniform, constitution and other items relating to the running of a pony club. All members will be given full details prior to having to vote in the second Special General Meeting.

It is hoped that members will also be provided with more detailed information regarding the funding for Mooroolbark’s move and the prospect of the Yarra Valley Equestrian Group gaining government financial support, so that they are able to make a fully informed decision.

Our understanding of the constitution indicates that each registered fully paid-up member of the pony club is entitled to one vote. Parents/guardians must vote on behalf of junior members under 17 years of age. If you are unable to attend the Special General Meeting, a Proxy voting form is attached and can be handed in at the next pony club rally. Alternatively the proxy vote form may be mailed to PO Box 8 COLDSTREAM 3770. The proxy vote must be received no later than 7pm on Tuesday 26th August.
