LIBRARY ORGANIZATIONAL STRUCTURE QUESTIONNAIRE

  • In order to translate your libraries current organizational structure into VOYAGER, it is important to have an accurate picture of a number of key Library structures. This will facilitate us in helping you to configure the System Administration module to best fit your needs and operational practices.
  • While the questions are grouped by system module, your responses will help to determine the best approach to creating policy groups and security profiles in the System Administration module.

How many Libraries do you have in your system? Do you have branch libraries either on campus or at distant locations?

We have five branches: the Barr Smith Library (BSL) is by far the largest, with the four small branches being Law and Performing Arts (PAL) on the same campus, Waite being 10km to the south east, and Roseworthy being 80km to the north. We also have a Library Store, which is not currently a branch in Dynix, but could be considered to be a separate branch.

CIRCULATION

How many circulation points do you have in the main (or branch libraries) library?

We have 5 in the BSL (main, AV, Special Collections, Reserve and Services desk), and one in each of the other branches.

Do you circulate Government Documents, non-print materials, and/or Reserves from the same desk?

No. We have separate AV and Reserve desks. We sometimes lend AV items through the main desk.

If you have multiple libraries, how do patrons request materials from these other libraries?

Patrons can place a (Dynix) hold on items at Waite or Roseworthy from the city branches. Patrons at Waite and Roseworthy can place holds on items at any other branch.

Do you have departmental offices on campus which circulate library materials?

No.

ACQUISITIONS

If you have branch libraries, do these libraries do Acquisitions activities (order their own materials) on site?

No.

Do they do serials check-in on site?

Waite, Roseworthy and Law do. PAL do not.

CATALOGING

If you have branch libraries, do these libraries do their own cataloging?

No. They only own their own holdings. That is to say, they are not supposed to create or change bib records, but are at liberty to add or change holdings records. The BSL cataloguing department does create new bibs and holdings for them as well as doing all bib adjustments for them.

SECURITY

Do you rely upon student workers at your Circulation Desk?

Yes.

Are there periods, such as evenings or weekends, when there are no staff available except

student workers?

No.

Do you use student workers in Acquisitions for activities such as serial check-in? Other activities?

No.

Do you use student workers in Cataloging? If so, for what activities?

Yes, they add holdings for items returned from binding. We also use other casual staff for special projects which includes copy cataloguing upgrades and holdings.
