Administrative assistant III: Wittliff collections

The Albert B. Alkek Library at Texas State University – San Marcos is seeking qualified applicants for the position of Administrative Assistant III: Wittliff Collections. This position reports to the Director of the Wittliff Collections and provides administrative assistance through a wide array of administrative functions.

The Wittliff Collections offers a dynamic archival, exhibition, programming, and research environment designed to further the cultural legacy of the region’s literary and photographic arts through its two counterparts: the Southwestern Writers Collection and the Southwestern & Mexican Photography Collection.

RESPONSIBILITIES: Manage the routine operation of the department and front office, including front office telephone. Provide administrative services to the Director and staff. Interview, hire, train, supervise, and evaluate student workers, and coordinate work assignments.Maintain various data sets including mailing lists, donor lists, gift shop, statistics, and budgetsusing FileMaker Pro or appropriate software.Assist withexhibition receptions. Greet and assist patrons by phone and in person, providing information about the Collections and gift shop. Oversee opening and closing procedures. Assist with mailing invitations and other duties as assigned/needed.

QUALIFICATIONS:Required: Administrative skills to manage office operations; organizational skills to manage a variety of both paper and electronic files; supervisory experience; demonstrated time management skillsto successfully manage multiple tasks simultaneously; problem solving and decision making skills; interpersonal skills to communicate effectively verbally and in writing, by phone and in person; reading and writing ability; math ability to oversee department budget; experience with database management, Microsoft Office, Internet research, email, and file sharing; clerical skills to use a computer, phone, fax, calculator, copier, and filing system; ability to work some evening or weekend hours for special events.

Preferred: Technical ability including working with scanners, Mac computers, FileMaker Pro, VCR/DVD players or sound equipment; familiarity with a library catalog and/or archives and finding aids; knowledge of Texas and Southwestern literature and history and photography; physical ability to routinely twist, turn, bend, squat, and routinely lift and carry objects weighing 30lbs.

SKILL TESTING: Skill testing may be required.

SALARY AND BENEFITS: $2,348-$3,000 monthly. Benefits include monthly contribution to health insurance/benefits package and retirement program. No state or local income tax.
