Administrative Assistant

Title: Administrative Assistant

Grade: H3

  1. Job Outline

1a) Reason job exists

To provide clerical and administrative support to the school

1b) Main Areas of Responsibility

  • Undertake reception duties including response to telephone and personal enquiries
  • Assist with pupil welfare matters, including contact with parents, staff, administering medicines and accident reporting
  • Support the SENCO with the maintenance of Health Care Plans and medical needs throughout the school
  • Maintain manual records and information including individual pupil files
  • Be responsible for ordering and maintaining general stock and dealing with quires related to uniform
  • Carry out financial tasks including collecting and logging of monies for events, visits etc. via Parentmail
  • To be the point of contact for all after school clubs and provision
  • Be responsible for First Day response calls, managing attendance through contact with the OperationsManager, parents and entering information onto SIMS data base
  • To complete any photocopying requested throughout the school
  • Organise the provision of DBS checks as appropriate
  • Anything else as deemed reasonable by the Headteacher

Be aware of and comply with policies and procedures relating to child protection; health and safety; confidentiality; and data protection and report all concerns to the appropriate person

1f) Additional Information

The postholder is required to contribute to and support the overall aims of the school. All staff are required to participate in training and other learning activities and performance management and development as required by the school’s policies and practices

The postholder is part of the administration team

The post holder is line managed by the Operations Manager

The postholder is responsible for all of the school’s administrative, reception and office functions

  1. Contacts

The postholder will work with all members of staff in the school and have contact with parents, governors, the LA and contractors.

  1. Knowledge, experience and training
  • Good knowledge of Safeguarding procedures in a school environment
  • Experience of working in an office environment
  • Good numeracy and literacy skills
  • Knowledge of procedures and regulations relevant to the post
  • Experience of standard office software
  • First Aid training
  • Understand the needs of children
