Lesson 2 Summary — Lecture Notes

Chapter 2 focuses on changing the view of the document, using the navigation pane, browsing through the document and using the Find and Replace command.

Begin this lesson by demonstrating how to open an existing document and locating the student data files in their flash drive or other file location. When the Open dialog box appears, cover the various options located on the screen if using the Windows 8 or Windows 7. Discuss how Windows 8, allows you to open documents from different locations.

Discuss the various options found within the View groups. Students should understand the differences found in Word’s five main views: Read Mode, Print Layout, Web Layout, Outline, and Draft. Read Mode is new in Word 2013. Demonstrate each view and explain how the view can be changed using the buttons located at the bottom of the screen in the status bar.

Demonstrate the various ways to using the Windows commands in the Windows group when using New Windows, Arrange All, Split, View Side by Side buttons. Show how Synchronous Scrolling is used when viewing two documents and how to turn off the synchronous scrolling.

Demonstrate how to increase or decrease by using the Zoom command on the status bar and on the Ribbon. On the Ribbon show the numerous options in using the Zoom command and how to view more than one page.

In the Show group area, adding a check mark to the ruler will display the horizontal and vertical rulers; the gridlines displays on the document screen; and the Navigation Pane opens to the left of the document. Discuss how aligning graphics and objects can work to the student’s advantage when the gridlines are on. Demonstrate howthe Navigation Pane works in Word and how quickly text, graphics and objects can be located. Demonstrate how Word enables you to easily locate and/or change text in a document using the Find and Replace commands in the Editing group of the Home tab. Let students know they can also use keyboard shortcuts to access the Find and Replace dialog box. Pressing Ctrl+F will open the Find tab and Ctrl+H will open the Replace tab. Word also allows you to include additional search options, such as Match case, and specific formatting in your search. Students can search and replace individual instances or all items at once.

Demonstrate how to navigate a document by using either a mouse or keystrokes. Show students how they can use the scroll commands that are found on the vertical ruler to scroll through a document. Use the mouse to demonstrate each command. Also, demonstrate how students can use various keys on the keyboard to move within a document including the left, right, up, and down arrows as well as the Home, PgUp, PgDn, and End keys.

Students should understand how to navigate a Word document using the Go To command from the Edit group and the Navigation Pane. It can also be accessed by pressing Ctrl+G or F5.

Discuss that when the Enter key is pressed too many times it affects the document’s appearance.

Display the two different ways of adding personal information and other contents to the document properties.

Finally, demonstrate how to select multiple items of text by using the mouse or keyboard. Selecting text can be moved by dragging and dropping to a location in the document. Show how the Clipboard retains multiple items of copied or cut items and how pasting them in a new location is completed.
