BOARD MEETING AGENDA – 6:00pm 08/01/17
1. Committee Positions
1. Program – Angela Rope taking banners to Dodge, Scudder Press is saying looking good with spreadsheet of what we have and sponsors. All fits nicely. Pictures being taking on Aug. 11, we will use those to put into the program
a. Deadlines looking good
b. Update –Final - Everything should be done by Aug. 11, getting all the stats and other info from Voorhees. Angela is going to Scudder on Thursday. Will get the sponsors that need to be on website to Ken/Sandy.
c. Need help to sell on game days at stadium. Val will keep some at the concessions and sell at the JV and freshman games.
2. Banquet
1. Michelle Biersner – Cindy is reaching out to her to help her get starting in the planning. Place reserved for Nov. 15.

3. August BBQ- 10th or move it to 25th – BBQ will be on Aug. 10th after check-in. Sign-up genius to help with food will go out tonight and reminders for the next week. This will help build community with parents. 5:00pm – 7:00pm. All coaches and wives and families are all invited to come and eat. NEED to check into the Pavilion (the city) for the area to do BBQ.

3. Coach Lynch
1. Updates…Testing has been happening this week.
2. Fall scrimmage (Rocky Mountain) what are the times Aug. 25, 5pm freshman, 6pm JV, 7pm Varsity at North Stadium.
3. Blitz day ran by coaches Aug. 11 from 4:30 pm -7pm – to help sell cards in order to get new gray uniforms for homecoming etc.
4. Aug. 10 is sports check-in finished, if not all physicals, no money paid $150 and packet not complete then can’t practice, Sports secretary will notify coaches who has completed all this.
5. Aug. 14 first day of practice, Aug. 19 is inner-squad scrimmage and golf tournament, Aug. 25 is scrimmage.

4. FALL Sport night August 17, 2017– All members present, Shelley will need to have goals of players, a concessions sign up. Push the communication of this it is MANDATORY meeting. Forms to be signed that night.
5. First Game – Broomfield – What to expect – stadium will be full, need help as early as possible (5pm) to set up banners, concessions etc. Want to elevate the excitement – balloons, noisemakers, pompoms for students. Decorate boy’s locker room as a possibility check with coach if able to.
6. Sign-up Genius – set up stadium 4 people, 2 program, Banners for seniors,
7. SnapBooster – is closing doors, put out on website and Facebook.
8. Booster Meetings- combining with the BBQ next week – give all information on all fees, fundraising, etc.

i. New Ideas on Parent participation and Retention – continue with flier, give a gift cards for attendance and possible due dates on fundraisers due the day of booster meeting.

3. Snap Raise- Ran by coaches – Will be done Aug. 10. Stress – cost to this fundraiser the more players you get to donate the more money will be donated. Snap Raise does take a percentage for a fee.
4. Bronco’s game day – up to $1500 to pass out programs and then leave – Wil sign up for this -

7. Escript – Gift card percentage goes back to program – TABLE – get up and running later sept.
8. Bricks Buck – we pay $1 for each buck, a rotating schedule and can be used multiple times – similar to Pizza PALS from old Chicago – TABLE to do at a later time sept.

2. Golf – Update – Add to Facebook, IN NEED OF HELPERS - Cindy will go to Costco and money drawers, Shelley will get checks,
7. Merchandise – Tonia Carabajal
1. Inventory- update – Visors coming in, along with baseball hats, checking with inventory but she feels that inventory is good. Aug. 25th is the first day needing merchandise. Ordering more hoodies (10days turn around). Order heavy now is suggested and is the goal.
2. Golf Tournament – need something for the tournament, will look into it and get back to Robin.
8. Treasurer – Shelley -
1. Financial report – Reconciled as of July, $15,500 for Discount cards, Youth Camp - approximately $11,000 – Car Wash money is in (Cindy will reach out to Charlotte to see what we need to for this in order that the scholarship is ready for Nov.).
2. To be consistent also - Tax year Jan 1 – Dec. 31, suggestion – to have any fundraising for boys account towards boys account to end Dec. 31 and posted money will go towards that season. (Trip years may be different.)
