Team Manager/Meet Manager Training

Purpose: To provide best practices for teams intending to use computerized lineups and scoring for LSSL Dual Meets using Team Manager and Meet Manager

Team Manager

Team Manager can be used to manage the swimmers on your team only. You can input individual swimmer demographic information, track times and improvement, records, generate bills, do online entry and/or hand entries for invitationals and dual meets.

Meet Manager

Meet Manager is used to input times from meets. These times can be entered by hand or pulled from a timing system that is linked to the Meet Manager software. You can also track records during a meet as well and generate reports at the end of the meet.

Computer/Software Scenarios:

  1. Host Team (Home or Computer Scoring team) using Meet Manager

●Non-Host (Visiting or Non-computer scoring team) has Team Manager (TM)

●Non-Host has Meet Manager (MM) only

●Non-Host has no computer software (Use Team Manager Lite) – (TM Lite) - only allows for 92 swimmers in a database.

Host Team using Meet Manager (MM)

Prior to Meet Day - Download meet events file for MM from league website. When you set up your file you can reuse the same file for the next meet. Be sure to back up the file in more than one place on your laptop.

  1. Meet Set-up - Change meet name, facility, dates, course
  2. File -> Save As - Change file name to match meet name.
  3. Teams - enter team names and abbreviations.
  4. Set up - Seeding Preferences - Dual Meet
  5. Check off strict assignments all heats
  6. Check of use lane assignments above
  7. Drag each team into their corresponding lanes.
  8. Set-up - Entry/Scoring Preferences
  9. 2 - 1
  10. Max entries - 3 - 3 - 1
  11. Set-up - Scoring
  12. 5-3-1 individual
  13. 7-0 relay
  14. File - Import Standards (League) and Records if needed from Team Manager
  15. Events setup/settings
  16. Heat order – Fastest to slowest
  17. Live heats first for each event
  18. Exhibition A, B, C, etc.

Day of Meet

  1. Scoring Team Lineup Entry
  2. Export your entries from Team Manager or Team Manager Lite.
  3. Import into MM. File - >Import entries in MM
  4. Warning - There will be no seed times if events selected in Meet Manager instead of Team Manager so you will not be able to track improvements through the MM report. You will be able to run a ™ manager report
  5. Designate events and whether swimmer is live or exhibition. If your entries are done in Team Manager all you should need to do is verify the entries.
  1. Non-Host Team Lineup Entry (in their software)
  2. Export your entries from Team Manager or Team Manager Lite.
  3. Import into MM. File - >Import entries in MM
  4. Warning - There will be no seed times if events selected in Meet Manager instead of Team Manager so you will not be able to track improvements through the MM report. You will be able to run a ™ manager report
  5. Designate events and whether swimmer is live or exhibition. If your entries are done in ™ all you should need to do is verify the entries.

  7. Seeding of Events
  8. After both teams lineups have been imported.
  9. Seeding - Select All - Preview each event (checkbox) - Start seeding
  10. Preview all event seeding
  11. Verify all live swimmers are seeded in the live heat – adjust as necessary
  12. Computer will will seed based on time (not based on live or exhibition designation) – variables might be:
  13. Faster swimmer might be doing a 4th event and must swim exhibition for this stroke
  14. Live swimmer might not have a seed time
  15. Coach may have decided to put swimmer in live with a slower seed time than someone else
  16. Make sure live swimmers at in the correct lane per the coach’s paper long form lane assignments – coach may not be lane assigning based on conventional lane seeding
  17. Verify that all exhibition swimmers are in exhibition heats
  18. Allow the computer to seed them automatically in the exhibition heats (fastest to slowest)
  19. Move swimmers to combine heats as necessary if the number of heats are unbalanced between the teams
  20. Try to keep team lane assignments as possible
  21. Try to keep seed times similar in the same heat where possible
  22. Printing Lineups and Event Sheets
  23. Once Lineup has been verified (and verified again)
  24. Print Lineups as follows:
  25. Print meet program (double column) for:
  26. Meet Official (1)
  27. Announcer (1)
  28. Scorer’s Table (2 for each team)
  29. Head Timer (1)
  30. Host Team Coaches/Stagers (as requested – usually 6 to 8)
  31. Non-Host Team Coaches/Stagers (as requested – usually 6 to 8)

*****Make sure to hand write any combined heats across events on all heat sheets

  1. Print Lane/Timer Cards (Must be purchased with the license. Not part of the base package)
  2. Report name Lane/Timer Sheets
  3. Select UK Judge’s Placing Sheet for a report similar to the current league event card.
  4. Select Heat then Lane if you want to gather all times for an event then enter them all into the computer by event.
  5. Cut cards in half and restack them (Paper cutter highly recommended)
  6. Manually mark up cards for any combined heats not in the computer (boys with girls, etc.)
  7. Label the heats in the corner (by hand)
  8. L for Live
  9. A for Ex. A, B for Ex B, etc.
  1. Meet Scoring/Execution
  2. Time Entry
  3. Averaging manual
  4. Single entry in MM
  5. Computer average
  6. Both times entered in MM
  7. Scratches - enter NS
  8. DQ’s - click on DQ box - be very careful!
  9. Score event - check against the event card for finishes and times
  10. Verify that your Run screen is displaying the records and running team score.
  11. Scoring corrections - enter JD and new place finishes
  12. Adjust team points – Judge finishes different than timed places
  13. Print Results for Each Event
  14. Double check order of finish and team score points
  15. Double check running team score on computer and printout with manual scorers
  16. Indicate if any records were broken (should be flagged on the report)
  17. Give results to announcer & awards
  18. Final Scoring/Reporting – After all events have been scored
  19. Double check final score with handscoredmeet score sheet (both teams)
  20. Print Final Results for all events (3-column or 2-column)
  21. Official signs hhand scored meet score sheet for home team.
  22. Export results for Non-Host Team
  23. PDF of results
  24. Export file for import into TM or MM
  25. Email PDF of results to league ()
  26. Include official signed hand scored meet score sheet
  27. Include 3-column or 2-column meet results sheets PDF

Results Imported into Team Manager

  1. In Meet Manager - File - Export - Results for Team Manager - Select team (c:\swmeets4)
  2. In Meet Manager - File - Export - Records (do after every meet where record is broken)
  3. In Team Manager - File - Import - Meet Results

Prepare For Your Next Meet

  1. In Meet Manager - Events - Records - Refresh. Use this database to create your next meet.
  2. File - Backup (in two different places)
  3. File - Purge - teams, entries, results
  4. Will prompt Set-up - Change date and opponent
  5. File - Save as - change meet name
  6. Backup file again
