Agenda items:

1. Review of agenda – no additions.

2. April 2016 minutes approved.

3. Webinar on Civitas Learning Space

  • Consensus not to purchaseat this point in time (cost is about $450,000 annually, with a one-time implementation fee).
  • Maury said that we have purchased an out-of-the-box BW that will integrate with the PeopleSoft platform – it is not known at this time if it will have dashboards.
  • We should also have access to a copy of the transactional student information database like we do now with DEC – hopefully we will have ODBC access to this.
  • There is also a data query tool in PeopleSoft.
  • Importantly, we will need documentation materials for the new SIS and databases/query tools.

4. Host Share and Shine

  • Sarah demonstrated Mission’s online system for conducting ILO roll-up assessments.

5. Accreditation

  • All 9 college Presidents will be going to the ACCJC meeting on June 9.
  • Joan will be on a visiting team to San Jose City College in October.

6. District Update

  • FTES Report
  • Handout with 1%, 2%, 3.38% growth scenarios for 2016-17. 2% is the statewide average rate and equals 109,549 FTES, about 400 students short of the historical max from 2008-09. 3.38% is 1,100 over the max.
  • Was at DBC on 5/18 and will go to the Board next week.
  • Some schools are waiting to see if they can hit maximum growth – it will probably not be in the major semesters.
  • We are looking to grow enhanced non-credit.
  • Make sure to enter all PA hours on time.
  • Next week Sarah C. will share list of colleges getting full and limited scope audits.
  • Gainful Employment
  • Financial aid directors received notices about verifying some of the graduates that were reported (validating the completers list which will be matched to loan and earnings data). Maury and Stan will attend a webinar to get more information.
  • District Strategic Plan–sign up on Doodle for a DSP work group to evaluate the measures associated with each DSP goal.
  • DRC Collaboration Site – the website has been set up and is available for uploading and sharing information (even if it’s confidential).
  • Momentum Points Data Set
  • IRDS was used to create the data set, but it’s not quite completed yet – will be available soon for testing and to see if additional variables are needed.
  • Fall 2012 cohort was used (3 years to complete).
  • Excel worksheet with student-level data can generate useful pivots with filters.
  • IEPI Goals – submit on template to Maury by June 2.
  • IRD_RDBhas been updated with fall 2015 data.

7. Student Equity Supplemental Funds for 2015-16

  • VPs submit requests to District by 5/19/16.
  • Harbor is requesting funds for computers.
  • Southwest is requesting funds for technology for OIE, supplies and computers for outreach to off-campus sites and assessment units.

8. CTE Data Unlocked Application

  • Application is due June 1.
  • $50,000 and 10 hours of technical assistance per college can be pooled – Ani will set up a conference call to strategize.
  • Possible uses: develop our own CTE outcomes survey and possibly contract with a company to better track our students; SAM code/TOP code cleanup.
  • Santa Rosa CTE Outcomes Survey free for one year.
  • Tableau: Valley started using Tableau last year and says free version and desktop version are the same. They have 1,000 desktop licenses. Rebecca asked if we can get it on a District-wide basis, and if so, will it integrate with PeopleSoft?
  • Ed suggested that we collaborate on the development of what data we use (EMSI, etc.) to track labor market info and CTE outcomes.

9. Enrollment Pipeline

  • Pierce hired Noel Levitz consultants to help with enrollment management.
  • How do you track students from lead, to application, to enrollment as a key metric of marketing/outreach (e.g. increasing conversion rate of applied to enrolled)?
  • Outreach module in PeopleSoft?
  • CCC Apply table in SIS; STUDENT table has application YR_SEM, application campus, and home campus.
  • Pipeline will be leaky because of cross-enrollment at multiple campuses.
  • Most students hear about us from family and friends.
  • Ed says we receive $220 per contact with at-risk students, but he will check this figure.
  • West has developed in-house software that helps track 3SP elements.

10. Methodologies for calculating percentage of “developmental” students

  • Most of us look at the percentage of placement test-takers (or test-takers that end up attending) that place into developmental levels.

11. LACCD Student/Faculty Survey

  • Maury wants to know what questions we really use.
  • For the next survey, we want to be sure to include questions on customer service, safety and security, equity, campus climate, etc. Bring any additional ideas to the next DRC meeting.
  • Are all ILOs covered by the questions? Disaggregating data and mapping to accreditation standards was very helpful.
  • Are all student services included in the survey? Check the list and bring feedback to next DRC.
  • Should a QR code for open comments be added? Can Scantron accommodate?
  • Google Gallup-Purdue Lumina “Big 6” elements of the college experience that can help us decide what to do programmatically.
  • This time we also plan to do a faculty/staff survey, which will probably be online.
  • Valley participated in CCSSE and SENSE – they will bring the questions to the next DRC meeting. They experienced some sampling issues.

12. Items from the floor

  • Valley wants ESC to look into whether the District can subscribe to a service that can help us identify and locate our students after they are gone/provide tracking information on students (e.g., contact and employment info.).
  • Need to capture skill certificates as a completion indicator. Can District make us do it?
  • The CalPASSPlusStudent Athletes dashboards could be useful, but where is the information coming from?
