MEETING MINUTES

Announcements:

For those LLC members that missed last month’s meeting, Rosío Alvarez provided a quick run through of the Library’s organizational move previouslyreporting to her predecessor to its current status, reporting to the User Support. Rosío described her decision to move the Library to User Support was based on the overall service the Library and Archives provides to the Laboratory community. Rosemary Lowden, as Dept Head of User Support, will oversee the group headed by Jane Tierney. The Group is comprised of Library, Archives and Report Coordination Teams.

UCB/LBNL Partnership:
Rosío Alvarez and Rosemary Lowden met with representatives from the California Digital Library (CDL), UCB, and Legal Counsel from UCOP on August 20th at LBNL. The group agreed that the Laboratory should have the same level of access to journals as those available on campus and is working toward this goal. Rosío mentioned that this is a very big undertaking, however, everyone is in full support and that includes Steve Chu.

Report Submission System:
Jane Tierney relayed to the group that beta testing and improving user interface text was still being done on the new report submission system. The programmerof the new system is now on leave so estimated completion/showing has been pushed back for another two weeks. Jane and Rosemary have worked to streamlinethe form to a simpler format, per request of the LLC. Until the new report submission system is complete, the web based submission form will be used and notifications of intent to publish and page charges requests will continue.

Catalog Update:
Jane Tierney provided the following stats on the Library’s cataloging effort:

As of 8/10/07 all LBNL subscribed journals and print journals holding have been cataloged.

920 journals cataloged into RLIN

1336 journal catalog records have been updated

2256 journals have been cataloged to date

115 monographs cataloged

On-line Digitization of Index Cards (Retrospective Conversion)
The effort to scan and digitize the Library’s catalog index cards is in full swing.Students have assisted with scanning 4,000 index cards and 6,000 more will be scanned by outsourced help by August 24th. The estimated completion of the remaining 23,000 cards is yet to be determined. We hope to have the retrospective conversion integrated into ILS which will provide bibliographic data on LBNL legacy printed reports, making these searchable by title or author, which has previously not been possible.

Implementation of Hosted Integrated Library System (ILS)
Jane Tierney reported that the implementation of the ILS has been making progress for the last three weeks. Browser compatibilityissues have come up and are being addressed. Jane showed the below slide regarding the ILS:

Facilities Improvements:
The remodeling of the Library is nearing completion. Jane indicated that the estimated move-in date is scheduled for this Friday, August 24th and should take approximately two full days. All modifications have been completed as expected, including full painting of walls to ceiling. Some delays have been experiencedprocessing work requests, but otherwise everything seems to be going as planned. Some of the Library’s new features will be a new “Reference Desk” area and an on-line microfiche form reader/scanner. The Library is also expecting to have available a new borrowing/circulation bar-code scanner and proxy card readers for ID and check out.
