I VMC MEETING FOR THE SESSION 2013-14(07/08/13)

The first meeting of the VMC for the session 2013-14 was held in the Principal chamber of KV NO.3 Gandhinagar Cantt. The meeting was chaired by Col.K.T.Mathew Nominee Chairman.The VMC members were given welcome by scouts and guides followed by traditional welcome.This being the first session of the current academic year,the chairman and VMC members were introduced to the student council.At the outset of the meeting the nominee chairman and VMC members were welcomed by the students with a beautiful welcome song .FurtherPrincipal offered a floral welcome to the members.The meetings started with an introductory session where all the members were introduced to the Chair.

The first point to be taken up was a review of the action taken report of the last VMC meeting.

1.FOLLOW UP ACTION OF THE MINTUES OF THE PREVIOUS MEETING

1. Condemnation of the articles for the year 2012-13 has been completed as per KVS guidelines

2. Airconditioner for medical room and AV room have been purchased.

3. Officeupdation: - Iron cupboard / covered partitions has been done.

4. Renovation of all wash rooms for Boys & Girls in the school has been completed

5. E Class project has been completed with the help of E content provided by KVS in the subject mathematics, Physics and Chemistry and teachers has been provided training for the use of the same by PGT Comp.Sc.

6.First round of medical check up has been done for the session 2013-14 in the month of July and August 2013.

7.Projector was installed in Chemistry lab

8. Shoe rack for two computer labs have been purchased.

9. 2water coolers are procured.

10. Green carpet is procured.

11. Honour board of School Captains arebeing made.

12. Paver Block tiles were put in the front area near the entry gate and vidyalaya front was cemented.

13. Allthe classrooms and departments’ fans and tube lights were thoroughly checked and further electrical repairs were completed.

2. CELEBRATION OF KVS GOLDEN JUBILEE YEAR 2013

  • KVS is celebrating golden jubilee year current year 2013.On this occasiontravel photo exhibition has been planned by regional office KVS (AR) from 12.08.13 onward at KV ONGC Chandkheda which will be shown to KV students and will be open for public also.
  • In various cities of Ahmedabad region cycle rally will be organized on 31.08.13 from 9.30 am to 11.30 am under the co-ordination of city co-ordination to mark the occasion
  • This vidyalaya will celebrate this occasion on KVS foundation day of KVS 15.12.13.
  • All the VMC Members are invited for KVS GOLDEN JUBILEE CELEBRATION YEAR 2013 function to be held at KV ONGC Chandkheda on 19.08.2013.
  • It is decided to conduct cycle rally on 31.08.2013 from 9.30am to 11.30 am of 5km within the army campus for students from VI to XII.

3. ACADEMIC PROGRESS AND PLANNING (CURRICULAR AND CO-CURRICULAR)

CURRICULAR ACTIVITIES:

  • Board and Non Board results of the session 2012-13 Discussed.(Annexure 1)
  • As per KVS guideline FA1 for class III to X was conducted on every Monday in the Month of July 2013 and August 2013.
  • Monthly test for class XII students are going on and records being maintained.
  • UT1 for class XI has been completed.
  • Two Pre Board for class XII will be conducted in the month of December and January.
  • Study Camp for Class XII is proposed to be conducted during winter break.
  • Academic planning for session 2013-14 has been done as per CCE calendar activities provided by KVS.
  • In the primary section, the CMP is being carried out as per the direction of KVS HQ .Activity based teaching is stressed upon and worksheets are designed for all the classes.
  • For CMP 2000 Rs. Per month given by KVS for purchasing charts,teaching aids ,toys etc to facilitate the teaching learning process.
  • Our vidyalaya is selected venue for preparing support material for class XII Economics.
  • PTA meeting for primary section was conducted on 03.08.13 and for secondary and senior secondary will be conducted on 08.08.13.
  • German teacher was posted in the vidyalaya.Fees is not collected for the same.Total 130 students opted german as optional subject.
  • Information Technology is introduced in the vidyalaya in class IX as additional subject during 2013-14 session.Total 31 students opted the same.

CO-CURRICULAR ACTIVITIES

  • Students were allotted different houses under the acronym DAAN which stands for Dhiraj, Ashta,Asmita and Namrata.Various inter house competitionswill be organized as per the annual calendar of activities.(Annexure 3)
  • Annual day will be celebrated in the month of November or December as per KVS HQ guidelines.Sadhbhavana club, Ecoclub,Health club,Language club are functioning in the vidyalaya.
  • A Rajyabhasha club is functioning in the vidyalaya for the promotion & propagation of Hindi among the staff and the students ofKV,which undertakes various activities throughout the year and especially in Hindi Pakhwada.
  • Vidyalaya level Social Science exhibition was conducted on 30.07.13 and student were selected for Cluster level Social Science exhibition in dance ,song, exhibition etc.
  • Preparation ofCluster level Social Science exhibition is going on in full swingin the vidyalaya.The topic allocated for the vidyalaya is State:-Tamilnadu.For dance choreographer is hired
  • Scout and Guide movement is going on in full swing.2students passed Rajyapuraskar testing camp held at KV Jodhpur for the year 2013-14. 10 students passed in Tritiya Sopan Testing Camp held for the year 2013-14.

  • Excursion for this session will be conducted in the month of January &February .
  • The second phase of medical check up will be conducted in January 2014.
  • Cluster level Volleyball and Kabaddi will be conducted in the vidyalaya from 12.08.13 to 14.08.13.
  • Regional level Volleyball will be conducted in the vidyalaya 23.08.13 and 24.08.13.
  • After Regional level ,the coaching camp will be conducted in the vidyalaya for 10 days.

  1. Panel of Contractual teacher for the year 2013-14 was prepared after conducting interviews in the month of feb 2013.

5. INFORMATION ABOUT SUBMISSION OF ANNUAL ACCOUNT 2012-13.

Submitted in due time and annexure attached.

30% of fees collected from the students will be sent to KVS(HQ) every quarter.

Chartered Accountant was hired for income tax calculation of all the employee of the vidyalaya.

6. Proposals/ purchases
  1. Estimates for Lawn tennis ground/ Multipurpose concrete assembly ground was received from MES for Rs.7, 45,000 and have been forwarded to KVS AR for administrative approval.
  2. Computer chairs for computer lab are to be purchased.
  3. Setting up of a mathematical garden is in process.
  4. ICT: - LCD for CMP to be purchased.
  5. Barrier free ramps with tiles are to be made.
  6. Road barriers are to be to be procured: The Nominee chairman was informed that the same was discussed in the previous VMC meeting and it was agreed uponthat the same may be collected form the army, on which it was assured that it would be done at the earliest. Syntax tanks with cover and doors for washrooms are to be procured.
  7. Covered dustbin to be purchased.
  8. Cemented seating near playground area to be made.
  9. All the name plates/ banners including illuminated arc boards with new logo to be procured.
  10. Internal white wash and external repair to be done.
  11. Maintenance of play field.
  12. Routine repairs to be done.
  13. 4 smart class rooms to be done. It was suggested that online classes with visual effect and PPT which support E-learning and practical learning. Development of cabinet for smart class room to keep the equipment safely was suggested.
  14. Follow up of KALAP (Information was shared as per Annexure attached.)10 areas were given by KVS(AR) where 3 have decided for achieving target.
  15. Information about outsourcing services
  16. Vidyalaya magazine and Badges are to be procured.

* Note: It was beyond the limit of VMC and Administrative approval from regional office is obtained after due permission from Chairman, VMC.

7. PROPOSAL FOR REVISED BUDGET FOR 2013-14 AND BUDGET ESTIMATE FOR 2014-15 OF SF AND VVN.

8. INFORMATION RELATED TO AUDIT PARA

Three paras are pending out of which 2 are due to non-receipt of reply from MES.

9. ADMISSION REGARDING

First and Second round of admission are over which was within the power of principal up to 40 per class per section with the due approval of Vidyalaya Executive Committee. Now admission with the approval of chairman VMC of category 1 up to the limit of 45 per section are being done w.e.f 01-08.13 to 30.09.13.

For KV to KV transfer the limit of students upto 55 per section.

For class 1 admission procedure include under RTE 6 per section SC and 3 per section ST.Rs.4500 per child per year will be provided to them from VVN for Textbooks,Uniforms,Notebooks and fees.

10. SAFETY AND SECURITY

All possible measures are adopted to ensure safety and security of students.

It is ensured that movements for all outdoor activities are done in proper queue.

. Unnecessary moving of students in the corridors is restricted with the help of out pass and monitoring by teachers.

Morning assembly session is organized for the children were it is ensured that students are coming in line accompanied by the respective class teachers and also during dispersal.

Prefects of the House on duty are allocated different areas for supervision to ensure safe arrival and dispersal.

Safety certificate of safe building, water is obtained from MES.

Fire Safety equipment has been installed catering to needs of various departments and the building and are duly refilled every year.

PROPOSAL

Vidylaya look forward with help of army authority to keep away stray animals /wild animals including monkeys.

11. DISCIPLINE

Discipline of the vidyalaya is maintained with the help of discipline committee and student council

Timely instruction given and it is monitored

12. CONSTRUCTION OF 8 ROOMS (4 CLASSROOMS AND OTHER DEPTT.)

Construction agency MES will be requested to give estimates.

13. CO-ORDINATION WITH ARMY AUTHORITY

Co-operation was sought from the army authorities for the initiation of NCC wing in the vidyalaya for which the nominee chairman guaranteed necessary assistance.

Garima project was done in the vidyalaya effectively supported by army authorities

14. ANY OTHER POINT WITH THE PERMISSION OF THE CHAIR

Meeting of Alumni Association will be conducted on 15th August and 26th January every year.

Approval for PTA was given.

For NAEP Counseling session to be conducted to give guidance to teenagers.

For starting NCC unit in the vidyalaya army authorities help is requested.

A workshop to be conducted for cultural activities like drawing and painting ,dance etc.

Requirement of canteen in the vidyalayais suggested.

Involvement of students in social service activities was suggested.In relation with this coordination with Help Äge India” supported by KVS is already in process.

Introduction of Karate classes in the vidyalaya was suggested.

The former VMC Chairman was given appreciation letter for teamwork to the vidyalaya and forwarded to KVS(AR).

The appreciation letters received from KVS(AR) was shown to the members.

The Sample copy of student diary was provided to the members.

The sample copy of medical card was shown to the members.

The meeting concluded with a vote of thanks by the Principal.
