Board Members Present: Ginger Jordan, Kym Apicelli and Lisa Massad.

Unit Owners Present: 26, 34, 39, 14, 140, 66, 136, 17, 163, 96 and 135

Call to Order – meeting was called to order at 6:26 p.m.

Approval of Minutes of December BOD meeting and December 2016 Annual Owners Meeting Draft Minutes: Kym Apicelli made the motion to approve these minutes, seconded by Lisa Massad, and the motion was unanimously approved.

Approval of December 2016, January and February 2017 Financial Reports:Expenses, $60,341.76, Reserves, $653,218.14, Total Assets $713,559.90. 3 unit owners in collections, 6 delinquent by one month, 0 delinquent by 60 days, and 3 delinquent by 90 days. Ginger made a motion to approve the financial report, Kym 2nd. Unanimous.

Old Business:

  • Ginger would like all residents to know that the Waterford Fire Department will test and replace a smoke detector in your home for anyone over the age of 62 for free.
  • Sediment basin clean up by Bruce & Sons has been delayed as there is too much water in the basin.
  • Sediment Basin Fence & Gate Installation. Arrow Fenceinstalled the fence and gatearound the basin for safety purposes. Total cost: $1862.69
  • Tree Removal Between Bldgs. 12 & 13 was completed by WJ Tree. The trees are down, and stumps to be removed.
  • Tree Trimming of 330 Boston Post Road was done by WJ Tree. This was the dead treethat was hanging over neighbors shed.
  • Stair Replacement between building 6 & 7. Two proposals were given to board by Deb. Lisa motioned to approve the installation of concrete stair with metal handrails,secondedby Kym. Unanimous. Ginger requested a proposal to install handrails from these stairs down to the lower roadway.
  • Window and Slider Replacement: Windows will be replaced in units 167 & 168. Three more sliding glass doors are being reviewed for replacement.
  • Unit 108, 2015 Slip and Fall litigation is still in process. The deposition with the attorney from Greater New York is being rescheduled.
  • Insurance Renewal was approved by Email Vote on 12/20/16. The motioned was made by Ginger, seconded by Kym. Unanimous.
  • Unit 107 Foundation Crack Repair/ Custom Siteworks: Total cost: $531.75.

New Business:

  • Unit 96 Hot water tank leak damage repair is complete. Unit owner is waiting on invoice from NPG.
  • Unit 124 exterior leak into Unit: Water may have come from the chimney chase area. Cahoon Builders to investigate and repair.
  • Unit 128 hot water tank leak was found when investigating the leak in unit 124. Minimal damage was found to the adjoining utility closet. Gingerasked if it is possible to scheduled hot water heater maintenance to discover leaks before they cause damage. Deb noted that the Board could make it mandatory to replace hot water heaters when their warranty is about to expire.
  • Unit 134 Toilet Overflow Damage: Remediation has been completed. Deb is waiting for a copy of the invoice for this work from ServPro. The proposal for restoration from ServPro is approximately $11,000. NPG will provide a proposal for the repairs.
  • Mulching of Nature Trail was completed by Bruce & Sons. Used mulch that was created from the recent tree removal. Total cost: $957.15. Done in 2015 at a cost of $1,907.
  • Snow Removal Issues, Draft Snow Removal Policy & Fines. Ginger would like to create a snow committee for the purpose of creating an effective plan of snow removal. There were no volunteers from the owners in attendance.
  • Pool Opening Date is scheduled for Memorial Day weekend. Pool maintenance quotes will be received from Baileys. The Board may delay opening if weather is not favorable.
  • Pest Control Renewal Proposal/ Griggs & Browneoffered the same price as last year, $161.92. Motioned by Kym to approve the proposal. Seconded by,Lisa. Unanimous.
  • Unit 125 Request to Install Privacy Screen made out of lattice and tied to the deck. Ginger made the motion not to approve this request. Seconded by Kym. Unanimous. The Board suggested using a temporary folding wall, to be stored inside of the condo unit when not in use.
  • Next BOD Meeting June 8, 2017

Other:

  • FHA Renewal Approved.
  • 2016 taxes have been filed.
  • The Annual January letter to the town of Waterford has been mailed.

Owners Forum.

  • Unit 39 asked that railing be extended from the new stairs between buildings 6 and 7 down to the asphalt.
  • Unit 140 noted that the procedures on cleanup of dog poop should be mentioned again. She also inquired about carpet cleaning and reported that the building 14 sign blew down and needs repair. Her back window also needs to be replaced.
  • Unit 96 is waiting on an invoice from NPG for repairs from her leaking hot water tank. The owner asked that railing on the stairsand lighting be installed in all crawl spaces.
  • Unit 64 requested that the Board return to monthly meetings. He also requested to have the fencing by Jordan brook be clearedof undergrowth climbing the fence. The storm drains also need to be repaired as the edges are crumbling.
  • Unit 135would like to hear what the options will be now that the trees have been cut down. Will it be replaced by fencing or more trees?
  • Unit 136 would prefer it to be a green option when replacing the cut down trees and not a fence. She asked when painting of the front doors will be done.

Ginger motioned to adjournthe meeting at 8:17 p.m. Kym seconded. Unanimous.
