4. Updates from Union Council
VPSA and current Union Council Representatives noted there were no Union Council items from last term that should affect Societies and Sports Clubs.
5. Committee Training & Refresher Training
CT advised that staff are working on series of improvements to committee training.
Firstly – aiming to have training session before term ends to equip new committee members with information needed ahead of the long summer break. CT will be emailing new committees when details have been sent through to get suggested dates and co-ordinate sessions. Refresher and further training will be held in September ahead of Freshers Fortnight to give committee members more knowledge and update of any changes.
Secondly – CT working with other Union and University staff to try and offer new ways of training, most notably through Moodle and possibly the University portal, in order to try and allow committee members who cannot attend training sessions or those who prefer different ways of learning to still access the knowledge and information.
To help improve the training, CT asked for any feedback or suggestions from anyone to be please be emailed in.
6. Reminder to register as volunteers & log hours
MP reminded all committee members that they are volunteering with the SU whenever they are organising things for their club/society. If they register and log their hours they will get a certificate at the end of year and be eligible for being put forward for University volunteering awards. Registration is online through suug.co.uk and everyone registered can log hours with Mike.
7. Ratifications
CT advised all attendees that the voting procedures are one vote per club or society, and that only clubs vote on sports club ratifications, and only societies vote on society ratifications.
7a. Tennis Club (Kea Barlow)
Tennis was previously a club at Greenwich but has been dormant in recent years. The proposed committee would like to restart the club and plan to hold friendlies and events, with the aim of getting enough interested students to play both recreationally and competitively.
Q: how many students are interested so far?
A: about 15 have said they are interested.
Q: (to staff) what is the membership fee when students join more than one sports club?
A: (CT) membership fees are set by committee, staff and VPSA working together to decide. Final decision is up to the VPSA, staff will advise on actual running costs and suggested membership fee. Any lower fee for joining a second club would need to be looked at and agreed by the club committees involved to ensure no clubs are left short of funds because of second club memberships.
Vote taken on accepting the ratification of Tennis Club.
In favour of ratification: 5
Against ratification: 0
Abstained from vote: 1
Tennis was ratified as a SUUG sports club.
7b. Gymnastics Club
7c. Mature Students Network
8. Ratifications during the Summer
9. Societies Union Council Representatives Election
10. Sports Union Council Representatives Election
11. Any Other Business
Societies advised they can leave if they wish – last 2 agenda points related just to Sports Clubs.
Everyone advised that staff would count the Societies Union Council Representatives votes the next day, as not simple to count and staff need to begin Sports Awards setup ahead of that evening.
