JOBSUMMARY:Ensurestimelypaymentofwages,dueallemployees.Filesallcorrespondingreportsand makedepositstosupportthepayroll.ResearchesandcommunicatesanyFederalorStatechangesregardingtaxes.Developsefficientsystems,policies,andprocedureswithinareaofresponsibility.

ESSENTIALDUTIESRESPONSIBILITIES:Employeemusthavetheabilitytoperformthefollowingessentialfunctionsonatimelybasiswithorwithoutreasonableaccommodations.

1.Supervisesandassistswithprocessingthedistrict’sbiweeklypayrollstoincludedataentry,postingandediting,printingchecksandvouchers,remittingappropriatedeposits,requestingchecksforwageattachments,TSAs,andtaxes,filingallreports,creating/postingperiodicandquarterlyfiles.

2.Creates,processes,prints,anddistributesallW-2’s.SendsendofyearfilestoStateandSocialSecurityAdministration.

3.WorkscloselywiththeBusinessOfficeforproperbudgetingandtaxfilings.

4.Assistsingatheringofinformationforlaborcontractnegotiations.Assistsincomplianceofandadherencetonegotiatedcontractsanddistrictpolicies.

5.Developssystemstoinsurepayrollisprocessedaccuratelyandincompliancewithfederal,state,andlocalrequirements.

6.Verifiesallstate,local,andfederalreports.

7.Supervisesattendancetrackingsystemsforalllevelsofstaff.

8.Manages,monitors,andupdatesemployeeretirementinformation(hires,leaves,sabbaticalsandterminations)throughPSERSwebsitetoincludedemographics,contracts,andworkreports.

9.Researches,completes,andfilesretirementpurchaseofserviceinformationandservicerefunds,asneeded.

10.Createssalarycalculationsheetsfornewhires,mid-yearincreases,retired,andterminatedemployees.

11.OverseesTaxShelterAnnuityparticipationandremitpayments.

12.Trackspart-timeteacherin-servicedayattendance.

13.Createsandcommunicatespayroll,supplemental,andintramuralcalendarsforeachschoolyear.

14.Monitorsand maintainsdatabaseforallsupplementalpositionstoinclude:annual,fall,winter,spring,andsummer(athletic,non-athletic,leadership, andsummer) positions.Createsanddistributescontractsforsignatureandoverseesthatallproperpaperworkisonfile.

15.Preparespresentations,staffdevelopmentprograms,andcommunicationpieces(brochures,newsletters,Internetmaterial,etc.)toactivelypromoteandeducateemployeeswithregardtoretirement,tax,andpayinformation.

16.DevelopsandmaintainsaPayrollwebsitewithPayrollForms,Retirementinformation,andpaycalendarsandschedules.

17.RepresentstheDistrictwithregardtounemploymentcompensationhearingsasneeded.

18.DirectlysupervisesPayrollProcessor.

19.OverseesthemonitoringandmaintenanceoftheAESOPDatabaseandelectronicattendancesystemforallDAEAstaffotherstaffinsystem.

20.Assistsinorientationsfornewhires:providestrainingontimeandattendancesystemand issuesandtracksIDBadgesissuedbytheDistrict.

21.Developsand maintainsapolicyandproceduremanualfortheDistrict’sPayrollDepartmenttoensureclearinstructionandconsistentapplicationofpoliciesandprocedures.

Thispositiondescriptiondoesnotexpressorimplythatthesearetheonlydutiestobeperformedbytheincumbent(s)inthisposition.Employee(s)willberequiredtocompleteotherjob-relateddutiesrequestedbytheirsupervisor.

ADDITIONALFUNCTIONS:Inadditiontotheforegoingessentialjobfunctions,theemployeeisrequiredtoperformthefollowingadditionalduties,unlesssuchadutycannotbeperformedwithorwithoutreasonableaccommodation.

MINIMUMQUALIFICATIONS:Tosuccessfullyperformthisposition,apersonmustbeabletoperformeachprimarydutysatisfactorily.Thequalificationrequirementslistedbelowrepresentminimumlevelsofeducationalachievement,training,skillsand/orabilitynecessary.

1.Bachelordegreerequiredorequivalentworkexperienceinpayroll.

2.Threeyears’experienceinpayrollorinsimilarfield

3.Experienceinbasicaccounting

4.Supervisoryexperience

5.Strongmathematicalskillsrequired

6.Knowledgeofretirementandtaxlawshelpful

7.Mustsuccessfullycompleteandmaintaincompliancewithallfederalandstatebackgroundandcriminalrecordcheckrequirements.

8.Candidatemustadheretoalllocal,state,federal,andschoolcoderequirementsforemployment.

PHYSICALREQUIREMENTS:Thephysicaldemandsdescribedherearerepresentativeofthosethatmustbemettosuccessfullyperformtheessentialfunctionsofthisjob.Reasonableaccommodationsmaybemadetoenableindividualswithdisabilitiestoperformtheessentialfunctions.

A.Whileperformingthedutiesofthisjob,theemployeeisrequiredtomaintainastationarypositionand moveabouttoaccessfilecabinets,officeequipment,etc.

C.Thepositionrequirestheemployeetoconstantlyoperateacomputerandotherofficeequipmentsuchasacopymachine,fax,andprinter.

D.Abilitytoliftand/orexertupto20lbs.offorcetooccasionallymoveobjects.

E.Thisjobrequirestheabilitytoobserve,inspect,identify,anddetermineaccuracyofwrittendocumentationandfinedetails.

F.Thepositionrequiresmeetingdeadlineswithseveretimeconstraints,interactingwithstaffandthepublic,andoccasionalirregularorextendedworkhours.

G.Some/occasionallocaltravelmaybenecessary:Mustbeabletoprovideowntransportationtoschoolrelatedfunctions/meetings,communityagencies,andschoolsthroughoutourservicearea.

WORKENVIRONMENT:Theworkenvironmentcharacteristicsdescribedherearerepresentativeofthoseanemployeeencounterswhileperformingtheessentialfunctionsofthisjob.Reasonableaccommodationsmaybemadetoenableindividualswithdisabilitiestoperformtheessentialfunctions.
