JOB TITLE:Staff Assistant II, 4-H Program

POSTING DATES: April 17, 2018 through May 4, 2018

WORK LOCATION: LaBelle, FL

POSITION SUMARY:

This is advanced secretarial work coupled with a thorough knowledge of the Extension Service, particularly the 4-H Department. Considerable knowledge of the overall operations and functions of the department, Extension as well as 4-H is necessary. This person is administratively responsible to the County Extension Agent - 4-H Coordinator and/or the County Extension Director, and is under the general supervision of the Executive Secretary.

DUTIES AND RESPONSIBILITIES:

Performs all of the secretarial duties for the County Extension 4-H Coordinator, Program Assistants, Leaders when requested, and occasionally for the County Extension Director.

Types correspondence, memoranda, reports, orders, stencils, and other office documents from rough drafts, notes and oral instructions for rough and finalized copy. Self-compose cover letters and other office documents as needed. Types articles, manuals, and other materials on general or technical subjects.

Receives telephone calls and walk-in clientele for the 4-H department and handles any routine matters based on the knowledge of the requests.

Responsible for typing and submitting travel expense vouchers to Hendry County Finance Department and University of Florida for the County Extension 4-H Coordinator, the Program Assistants and occasionally for the County Extension Director.

Types purchase order requisitions as needed.Establishes and maintains files which would include responsibility for accurate filing and retrieval of materials.

Retrieves and sends electronic mail and opens and distributes daily mail within the 4-H Department.

Hendry County Fair and Livestock Sale

Responsible for completion of correspondence to exhibitors and potential buyers for the Hendry County Fair and Livestock Sale.

Prepare sales data (buyers invoices, exhibitors statements, mailing lists, and final totals) taken from the information from the Hendry County Fair and Livestock Sale using Lotus spreadsheets.

Maintain and update Fair Entry Forms. Design, print, and make copies of Fair Programs.

Make deposits, keep records, write checks for Exhibitors from the Fair Youth Fund Account.

4-H Responsibilities

Update necessary forms at beginning of each new 4-H year and create computerdatabase from the enrollment forms for the 4-H department and for various clubs within 4-H.

Creates calendar of events for 4-H Clubs.

Maintain mailing lists for variety of correspondence and informational memorandum.

Keep photo album and scrap book of 4-H current events from newspapers and other sources.

Type, mail, and maintain a record of various forms filed with the state.

Order, Receive, catalog, file and/or store 4-H publications, record books and project books.

Preparation of agenda for various events Hendry County is hosting such as: Awards Banquet, County and District Events, Area F, 4.4-H Camp.

Maintain Magic Program for the Annual ES237 Report.

Install new software programs, download and update software from Gainesville, and troubleshoot and repair many computer software problems.

Employees may at times be required to perform duties as assigned, such as, assisting during The Hendry County Farm Tour and The Hendry County Youth Fair.

KNOWLEDGE, SKILLS ABILITIES AND COMPETENCIES REQUIRED:

High School Graduate with courses in typing and Bookkeeping.

At least 2 years experience in secretarial work or equivalent combination of training andexperience, along with working knowledge in simple bookkeeping.

Must have experience with IBM compatible computers, Dot Matrix and Laser Jet printers, and have computer software experience with Word Perfect 5.1 or later, Lotus ver 2.3 or later, required.

Must be willing to attend required training to enhance job performance and to take advantage of new office technologies.

Desired

Computer Software experience including, but not limited to, WordPerfect 6.1 for Windows, Quicken Accounting, Colorado Backup System for Windows, various graphics programs such as DrawPerfect, the 4-H Magic Program, and Envelope Manager.

Experience in use of Procomm Communication software, Electronic Mail, and Internet is highly desired.

Experience in the use of fax modems, and scanners.

Working knowledge with Video equipment, such as, slide projectors, video projectors, video monitors, and satellite dishes is desired.

Experience with office machines including mimeograph, calculator, copier, etc.

Dictation, shorthand/speed writing, or office procedure courses.

Have a workable knowledge of the Courthouse system in order to refer the public seeking various information from other offices and departments, as well as the other governmental agencies located in the County, State, and Federal Government.

MINIMUM QUALIFICATIONS:

Must have the ability to organize and implement activities as directed by the County Extension 4-H Coordinator, County Extension Director and/or other Agents assigned to this position.

Must have the ability to retain confidential information which is pertinent to the Hendry County Extension Office as directed from the State and Federal Governments.

Must be able to type a minimum of 45 words per minute.

Must have a general knowledge of other clerical staff responsibilities and assist other employees when needed.

Ability to handle correspondence, visitors, and callers with tact, poise, and responsibility.Must have good public relations and organizational skills.

Must have the skill to deal with controversial issues.

Knowledge of business English, spelling, punctuation, good communication skills in writing and speaking and use of various office machines.

Must have a good knowledge of the Extension Educational programs, policies, and procedures.

Must have good knowledge of sound financial accounting and record keeping practices.

Ability to work independently or with others in a team effort.

The ability to adapt to shifts in work assignments with little or no notice is essential.

Essential Physical Skills:

Must be able to do occasional driving.

Must be able to do some moderate lifting (Up to 50 lbs).

Must have excellent eye and hand coordination and possess good dexterity with hands and fingers.

Must be able to tolerate extensive computer work at times.

Must be able to tolerate moderate periods of extensive bending, standing and walking.

HOURS OF WORK:

Monday through Friday, 8:00 a.m. to 5:00 p.m.

ANTICIPATED STARTING PAY:

Minimum $12.00 per hour and maximum rate of pay depends on qualifications. This is a full-time hourly position that includes County medical benefits and State Retirement.
