Main purpose of the job:

The post holder has a cornerstone role in ensuring effective implementation and support of occupational health and safety data systems that impact across the institution. The post holder also provides administrative support to the Occupational Safety and Health Services (OSAHS) department.

Line management responsibility for: There is no line management responsibility.

Main duties and responsibilities

  • To provide project support to the Deputy Director of Health and Safety in the implementation of the institutional safety management software system.
  • To provide ongoing administrative support for the safety management software system and assist in the effective management and development of the system.
  • To support the Deputy Director of Health and Safety with effective contract management of the safety management software system.
  • To generate safety management software system reports on training and development activities, accident/incident data and data from other modules.
  • To assist with the development and maintenance of electronic data management systems.
  • To write and deliver briefing sessions, training sessions and presentations related to the safety management software system and other electronic systems.
  • To undertake copywriting and the production of material to support safety media and communications streams.
  • To undertake in-depth analysis of safety and health data to identify trends and regularly produce reports for the Deputy Director of Health and Safety to incorporate into papers for Audit Committee, Safety Committee and sub committees.
  • To provide secretarial support to occupational health and safety committees, forums, groups and meetings.
  • To deputise for the Departmental Administrator during absence, undertaking the full range of departmental administrative functions.
  • To develop and maintain the departmental intranet webpages and Edublog site.
  • To provide administrative support for occupational health and safety training courses (including booking, payment, resolution of queries and advertising) delivered by the department, including e-learning courses.
  • To administer the department eLearning system, to monitor and report on learning progress and assist with providing access to systems when necessary.
  • To provide administrative support to occupational health and safety activities within OSHAS as required.

Qualifications /
  • Has or is currently studying towards a Higher National Certificate (HNC) or equivalent level qualification in a relevant discipline.

  • Experience of developing and/or administering database systems
  • Proven administrative experience in a busy office environment
  • Customer service experience
  • Experience of analysing data and producing technical reports.

  • Any appointment is generally made at the bottom of the salary range for the grade dependent upon experience and previous salary.
  • This is a full time post – Monday – Friday, 37 hours per week.
  • Annual leave entitlements are shown in the table below and increase after 5 years’ service. In addition, to the eight Bank Holidays, there are university discretionary days between Christmas and New Year. All leave, including bank holidays and discretionary days, are pro-rated for part time employees.
  • This post is fixed-term for one year.
