Reporting to:Professor Mike Slade and Professor Martin Orrell

Purpose of the New Role:

  1. To provide administrative and secretarial support to the Professor of Mental Health Recovery and Social Inclusion (Professor Slade) and associated academic staff to assist with the provision and smooth running of research and teaching.
  1. To provide administrative and organisational support to research studies, currently PRIDE (Promoting Independence in Dementia) and INDUCT (Innovation Network in Dementia Using Current Technology)led by Professor Orrell.

Excellent interpersonal skills are required with an ability to communicate effectively at all levels.

Main Responsibilities / % time
1.. / Administrative/secretarial tasks and other appropriate duties to support the Professor of Mental Health Recovery and Social Inclusion and associated staff including;
  • Liaising with key contacts in the University and other organisations i.e. other universities, NHS Trusts, NICE and research commissioners
  • Ability to work productively with relevant stake-holders, especially mental health staff, service users and managers
  • Organising the Professor’s daily schedule, arranging appointments and managing his time efficiently
  • Be the first point of contact for telephone and email enquiries relating to the Professor and enquiries in person from both internal and external customers. Liaise with multiple professional groups locally, nationally and internationally.
  • Co-ordinating travel to enable the Professor and associated staff to attend conferences and meetings.
  • Co-ordinating national and international visits to the Professor.
  • Assist with the compilation of research grant proposals and Ethics Committee applications
  • Organising internal and external meetings, conferences,small formal events, e.g. booking hotel accommodation, venues, registration arrangements, equipment and refreshments. Including co-ordinating the organisation of the biennial Refocus on Recovery international conference and the biannual Recovery Research Network meetings.
  • To convene and attend regular meetings as required, producing agendas and accurate minutes, making all necessary arrangements including the collation of papers and agenda items
  • To maintain and develop the Professor’s web-site (researchintorecovery.com), using the existing content management system and liaising with web content providers
  • To provide administrative support for the processes involved in publishing books, booklets and papers.

2. / To provide administrative and organisational support to Professor Orrell’s Dementia research studies; currently these include the PRIDE and INDUCT dementia care research and will include:
  • Arranging, planning and servicing meetings related to the research studies, which are both operational and managerial.
  • Creation and maintenance of files, both electronic and manual.
  • Collation of data/information and accurate recording, using a variety of media.
  • Act as a point of contact for internal and external agencies.
  • Ability to travel nationally

3. / Utilise the Agresso Logistics and SciQuest systems including entering, authorising and goods receiving purchase orders up to £1,000 and liaison with suppliers and the Finance Department to ensure that invoices are processed correctly and paid on time, and contributing to the smooth running of financial administration with the School of Health Sciences / 5%
4. / Responsibility for monitoring and controlling budgets held by the Professors to ensure expenditure does not exceed budget and accurate financial statements are readily available / 5%
5. / Use of University and Trust databases and record keeping systems to;
  • Monitor the performance of University postgraduate research students
  • To collate and enter feedback on training courses and research

6. / To liaise and obtain papers and texts from University and NHS libraries keeping within University and Trust policy / 2.5%

Knowledge, Skills, Qualifications & Experience

Essential / Desirable
Qualifications/ Education /
  • Vocational qualification (NVQ2 Administration with Secretarial Skills) or equivalent and experience of an office/administrative environment or considerable work experience in relevant role.

  • Relevant secretarial/word processing qualification e.g. RSA III or above
  • HNC or HND in a relevant subject

Nottingham

The School of Health Sciences

The School of Health Sciences is part of the Faculty of Medicine and Health Sciences and aims to be a centre of national and international excellence in research, education and practice development. The School has approximately 270 academic and support staff and consists of the Divisions of Nursing, Midwifery and Physiotherapy.

The School of Health Sciences provides a portfolio of undergraduate professional courses that are largely commissioned by Health Education England through Health Education East Midlands in order to meet NHS requirements for a workforce of nurses, midwives and physiotherapists in sufficient numbers and will create the necessary attitudes, values and skills to deliver quality both and social care. We also provide a range of flagship postgraduate education, Learning Beyond Registration and research training courses.
