Job Title:Receptionist – New Life Church
Tentatively to include – Stewardship/Benevolence Ministry Administrative Assistant
Accountable To: Human Resources Director
Salaried or Hourly: Hourly $12.00 per hour
Schedule:Tuesday – Friday 8:30 – 5:00 32 hours per week
Job Titles Supervised:None
Purpose:To serve the New Life Church campus by providing a warm welcome and gracious service to callers, visitors, and guests.
Receptionist Essential Responsibilities (Primary):
- Receive incoming calls, answer questions, and provide information to callers and guests, taking complete and accurate messages, and route calls to appropriate staff members.
- Warmly greet and offer assistance to guests and visitors entering the Reception Area.
- Be attentive to all guests and visitors in an effort to discern potential security issues and request additional staff assistance when needed.
- Able to produce documents using familiarity and experience with a variety of software applications (MS Office suite, Windows 2003 applications, MS Outlook).
- Operate necessary office machines and help to maintain reception area.
- Store and distribute as appropriate valuable lost and found items, contacting owners when possible via church data base.
- Assist the Business Admin staff, when available, in providing secretarial support as requested, such as typing, preparing materials for mailings, and other duties as may be needed.
- Prepare gift bags to be used on Sunday mornings at Guest Central.
- Check incoming email faxes periodically throughout the work day and route them to appropriate emails.
- Help keep Receptionist Policy & Procedure Manual current on a quarterly basis.
- Help integrate volunteers into the department and assist in training them to cover Receptionist Stations as needed.
- Take prayer requests and enter in the World Prayer Team Prayer Site.
- Demonstrate ongoing financial support of the ministries of New Life Church.
- Work in close association with the entire staff to build and maintain a strong team environment and complete the work necessary to fully serve and support the ministries of New Life Church and the World Prayer Center.
- Attend regular staff meetings and additional meetings when requested.
- Cooperate with the HR Director and Associate Pastor of Administration by performing any other duties when asked to do so.
- Maintain the recorded campus phone greeting.
- Ensure that contractors, who report to perform a job at NLC, sign in at Information Center and receive a badge.
- Help Maintain the Bulletin and Events Boards by keeping all postings current.
- Record all deliveries on appropriate delivery sheet (UPS, Fed Ex, DHL, etc
Essential Stewardship/Benevolence Administrative Assistant Duties (Tentative):
- Maintain Outlook Calendar appointments for Stewardship Pastor.
- Receive Stewardship Pastor calls and check voice mail when he is out of the office, keeping call log/messages.
- Prepare documents as requested by Stewardship Pastor
- Greet Stewardship Pastor visitors and distribute appropriate paperwork for benevolence assistance.
- Prepare forms, handouts, etc. as needed for implementing Stewardship communications with New Life Staff.
- Inform Receptionist partner of projects requested by Stewardship Pastorand follow direction for coordinating with Primary Receptionist responsibilities.
- Cooperate with the Stewardship Pastor by performing any other duties when asked to do so.
Minimum Requirements
Education:No specific requirements.
Experience:Minimum 1 year as a receptionist or equivalent work experience in customer service.
Knowledge, Skills, and Abilities:
- Ability to read and carry out written and oral instructions.
- Ability to type.
- Ability to perform basic arithmetical functions.
- Effectively and efficiently operate a multi-line telephone.
- Detail-oriented and self-motivated.
- Ability to verbally communicate effectively and tactfully at all levels.
- Personable and helpful attitude.
- Excellent grammar skills and communication skills.
- Ability to handle multiple tasks and to complete projects with little guidance.
- Able to work well under pressure.
- Bi- or multi-lingual a plus.
- Strong organizational and office skills.
- Strong computer skills, including familiarity and experience with a variety of software applications (MS Office suite 2003, MS Outlook, databases).
- Maintain the confidentiality of sensitive information.
