POSITION SUMMARY:

Support the Director with the day-to-day operation of the Public Relations department; produce publications and documents, advertisements, etc. needed to promote the College, the ECC Foundation, and their missions.

ESSENTIAL TASKS:

Manage publication projects from planning stage to final completion for internal and external distribution.

Respond to inquiries from employees and the public, screening and directing individuals as appropriate.

Evaluate all incoming correspondence, marking important sections, drafting replies, gathering appropriate background material, routing mail, and determining which matters require the attention of the administrator.

Produce College publications including the College catalog, schedules, viewbooks, brochures, flyers, programs, postcards, envelopes, newsletters, and reports using appropriate equipment and software.

Produce Foundation publications including annual reports, invitations, RSVP cards, envelopes, newsletters, programs, letterhead and membership cards using appropriate equipment and software.

Design and place advertisements, verify publication or broadcast information.

Maintain files of College news releases, publications and clippings.

Process billing paperwork for the department and maintain accurate and up-to-date budgetary records.

Maintain media lists, subscriptions, directories, and publications.

Assist the Public Relations Director in the arrangement for receptions or special events.

Provide clerical support for the department.

Initiate, process and track departmental forms such as purchase orders, personnel requisitions, travel authorization forms, supply requisitions, printing requests, travel expense reimbursement vouchers.

Track/record all departmental expenditures; prepare budget status report and projections to be used with campaign and expense planning.

Serve on College committees as requested.

Perform assigned responsibilities, duties, and tasks according to established practices, procedures, techniques, and standards in a safe manner and with minimal supervision.

ADDITIONAL DUTIES:

Adjustment of hours involving evening and/or weekend work may be required.

Perform other related duties as may be assigned.

Skill in proofreading materials to ensure accuracy.

Skill in editing copy, writing heads, subheads and cutlines.

Ability to use appropriate proofreader's marks when editing.

Ability to know when and which contacts to make internally and externally to complete the assignment.

Ability to communicate effectively (oral/written); deal effectively with the general public, all levels of co-workers, sales representatives, news media contacts, and general vendors; concentrate on detailed projects during numerous interruptions.

Knowledge of sales and marketing.

Thorough knowledge of general office procedures and office filing systems.

Ability to handle confidential material judiciously.

Effective interpersonal skills, including ability to establish and maintain positive working relationships with coworkers, vendors, and the general public.

Ability to communicate information and ideas in writing so others will fully understand;

Ability to manage multiple projects and work under time pressures to meet established deadlines.

Ability to work effectively in a busy office with frequent interruptions.

Supervise, instruct, or train others through explanation, demonstration, and supervised practice; and/or make recommendations based on technical expertise.

EQUIPMENT/SOFTWARE:

Use office machines such as telephones, fax machines, copiers or calculators.

Basic photography knowledge, Operation of a digital SLR camera.

Proficient in Adobe InDesign, Adobe PhotoShop, Adobe Illustrator, Microsoft Publisher.

Use computers for data entry and Microsoft Office (Word, Excel, Outlook); customized applications.

Use Colleague (college database system).

WORKING CONDITIONS - the following physical conditions and hazards may be encountered in this position:

The position is in an indoor environment with a moderate noise level.

PHYSICAL REQUIREMENTS:

  • While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is occasionally required to stand and walk.
  • The employee must regularly lift and /or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
  • The position may also require close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
