Job Title: Project Support Officer, AGE UK Doncaster
Hours: 20hrs/week over 3 days
Pay: £27,956.00 pro-rata

JOB SUMMARY/PURPOSE
The Project Support Officer, reporting to the Chief Executive (CE), AGE UK Doncaster, will be a key member of the senior management team, dealing with a range of issues in a fast paced environment.The post holder, working with and on behalf of the CE, will be required to work quickly, accurately and proactively to scope and deliver on high quality projects. The Project Support Officer will work on behalf of the CE to ensure the efficient and effective planning, implementation and evaluation of commissioned services, scope possibilities for transforming some existing services and be involved in responding to Tender Applications.
The post holder will manage and support specific projects within AGE UK Doncaster portfolio’, including the development of new models of Elderly Day Care,and will support and facilitate progress of the projects under the guidance of the CE. The post holder will be expected to use their own initiative, and proven excellent organisational and interpersonal skills, to facilitate the successful delivery of projects and ensure that matters are dealtwith efficiently and appropriately.
The Project Officer will take ownership of specific elements of work stream plans. The post holder will be responsible for managing and maintaining relevant project plans and associated documentation. In addition, the post holder will establish and maintain effective systems to support the delivery of delegated key business functions enabling them to deliver their objectives within AGE UK Doncaster Business Plan. This will include responding appropriately to incoming telephone queries, mail and emails; assisting with the production of key documents; assisting with organising events and meetings; and establishing and maintaining project plans and databases as required.
The Project Officer will work collaboratively with key colleagues within AGE UK Doncaster as well as external organisations to provide project support. At times, the post holder may be dealing with highly sensitive matters and confidentiality
will be essential.
KEY DUTIES AND RESPONSIBILITIES
Provide comprehensive project support to the CE in the delivery of key strategic work streams, business cases and Tender applications.
Develop specialist knowledge in key areas related to projects to support the analysis and presentation of a complex range of facts.
Supported by the CE on the development of key documents related to specific projects, such as Board of Trustee reports, briefing papers and presentations following AGE UK Doncaster systems and processes.
To work with key colleagues within the Doncaster Health and Social Care Network to support the development of new initiatives.
To work with internal and external stakeholders to ensure that project delivery timescales are met.
To work with relevant teams within AGE UK Doncaster, such as quality, finance and performance, to coordinate activity and data information required to support projects and service improvements.
Through analysis of the data, make recommendations to the CE in terms of service development and change.
Identifies and highlights risks and issues within the projects, and makes suggestions for adjustments and impact if targets are not met
Significant responsibility for establishing and maintaining project plans and databases and for ensuring that accurate and timely information is available in the appropriate format for reporting, monitoring and audit purposes.
Responsible for the development of policies, protocols, reports and communications outside of own immediate areas and across a range of projects/programmes.
Assisting with the organisation of meetings and events.
Communicate sensitive and complex information about performance and change allied to the specific project.

Work within defined policies and procedures of the department and the Organisation. In addition, the post holder will:
Take part in training and development to gain a broad understanding of AGE UK Doncaster.
Support the development of the corporate identity of AGE UK Doncaster through a contribution to developing the Organisationsvision, strategic direction, values and culture.
Represent AGE UK Doncaster to external bodies, where appropriate.
Post holders should review the Job description with their line manager annually as part of the performance appraisal and personal development process to ensure that it continues to reflect the role.
General Duties & Responsibilities
To undertake any other duties at the request of the CE,which are commensurate with the role.
To adhere to the policies and procedures of the Organisation.
To undertake training as necessary in line with development of the post.
To participate fully in the development review (appraisal) process and undertake Continuing Professional Development as required.
To achieve and demonstrate agreed standards of personal and professional development within agreed timescales.
To participate in surveys and audits as necessary in order to enable the organisation to meet its statutory requirements.
To be aware of the organisation’s emergency planning processes and follow such processes as necessary, in the event of a sudden unexpected incident.
USE OF NEW TECHNOLOGY
The Organisation is making increased use of computer technology. The majority of employees should expect to use automated information systems in their work in order to improve quality and co-ordination of services and to enable faster and more certain communication. Necessary training will be provided. Compliance with the Data Protection Act 1988, Information Governance and the relevant Computer Usage Policy is expected.
NO SMOKING POLICY
The Organisation operates a no-smoking policy. This applies to all staff and visitors. It is a condition of employment for staff that they do not smoke whilst on duty or in uniform or anywhere on the Organisation’s premises. Whilst we do not discriminate against employing smokers, they are expected to adhere to this policy and all prospective employees should be aware of this. As a responsible employer, it is appropriate to consider the inhalation of e-cigarettes as 'smoking' and therefore should be carried out outside the building until such times as they are 'officially' declared safe to use in the presence of others indoors (the rationale behind this being to protect the organisation and the individual against potential litigation in the future).
