JOB TITLE: Program Coordinator, Customized Training

POSITION SUMMARY:

Provide administrative and professional support to the Business and Industry Training Department, Coordinator, and to local business, industry and service organizations.

ESSENTIAL TASKS:

Manage the implementation of contract training services as well as new programs.

Administer and manage the Missouri Customized Training Program and the New Jobs Training Program.

Maintain client files.

Implementation of Truck Driver Training program.

Implementation of online courses

Develop new programs/certifications useful to area business/industry.

Manage and implement contract and state funded training services (WorkKeys, testing, Job Profiling, OSHA, etc.)

Work closely with local area career centers and other organization in implementing programs that are eligible for reimbursement for dislocated workers, low income families, vocational rehab, etc.

Interact daily with internal departments such as the business and registration offices in overseeing and managing invoicing/billing, accounts payable/receivable, enrollment processing, and annual audits by state personnel.

Administer Missouri Customized Training Program (MCTP) Grant. Involves complex data analysis. Liasian between state and client. Adhere to regulations established by the state. Maintain client files and daily interaction with clients.

Administer NJTP (New Jobs Training Program). Involves complex data analysis of state withholdings. Adhere to regulations established by the state. Maintain files & daily interaction with lawyer, bank, client, underwriter for project.

Process and maintain program & department finances. Prepare/Process client billings, requisitions, purchase orders, accounts payable/receivable; handle large check deposits on a regular basis.

Evaluate all incoming correspondence, marking important sections, drafting replies, gathering appropriate background material, routing mail, and determining which matters require the attention of the Executive Director.

Administer/follow-up on training leads/calls. Assess costs/profits, secure instructors, setup training logistics.

Maintain online course offerings/website. Answer inquiries, assist participants with decision making on what to pursue;process enrollments, billing, payments, etc.

Work closely with instructors on training needs such as equipment, produce and/or assemble training material, enrollments, evaluations, certificates.

Establish and maintain excellent working relationships with peers and clients.

Provide reports and databases for informational purposes or meetings such as number of clients served, communities served, training services provided, online course information, etc.

Assist with writing grants/proposals to those who participate the grant programs, contract training programs and services.

Knowledge of general office procedures and filing systems.

Knowledge of the Family Educational Rights and Privacy Act (FERPA).

Knowledge of business English with the ability to write in complete sentences using appropriate words, correct grammar, punctuation and spelling.

Knowledge of general accounting procedures.

Ability to manage multiple projects and work under time pressures to meet established deadlines.

Ability to handle confidential material judiciously.

Effective oral and communication skills.

Ability to work effectively in a busy office with frequent interruptions.

Detailed-oriented with skills in proofreading materials and data entry to ensure accuracy

EQUIPMENT/SOFTWARE:

Use office machines such as telephones, fax machines, copiers or calculators.

Proficient in Microsoft XP, Microsoft Office (Word, Excel, Access, Outlook).

WORKING CONDITIONS - the following physical conditions and hazards may be encountered in this position:

The noise level in the work environment is usually moderate.

The overall environment is indoor with movement through the assigned work location.

PHYSICAL REQUIREMENTS:
