Purpose of the role

To provide a coach booking function for university field trips and an administrative function for the university vehicle fleet, as well as assisting with all parking-related matters, and to assist the Logistics and Transport Officer in ensuring that the university’s transport policies are compliant and fully up to date

Line management responsibility for: None

Main areas of responsibility:

  • To assist with the management for end-to-end vehicle bookings for University field trips to ensure that all reservations are handled promptly and efficiently, in line with University Financial Regulations, and that the transportation service is delivered in a timely fashion,
  • To assist the Logistics & Transport Officer with the management of the vehicle fleet to ensure the following:
  • all university vehicles are maintained, inspected and taxed in accordance with university policy,relevant transport and health & safety legislation, vehicle breakdown cover is in place and fuel cards effectively managed.
  • insurance claims and accident repair procedures are followed up promptly
  • To assist with undertaking research into Transport Regulations, Health & Safety legislation and other organisations’ driving policiesand assist with the development of future sustainable travel plans.
  • To record and update, on a regular basis, statistics relating to university bus services and produce statistical analyses to ensure that reliable management data about bus service is available
  • To assist with the administration of the parking management system, to ensure that parking space requests and appeals are handled promptly and fairly and that parking spaces are managed efficiently,
  • To assist the Logistics & Transport Officer in handling disputes relating to Contractual Breach Charge notices and parking permit appeals, to ensure that they are resolved promptly and efficiently,
  • To assist the Logistics & Transport Officer in developing technological improvements to maximise the efficiency of the Parking & Transport Office.
  • To assist with the preparation of written correspondence and documentation and the provision of an effective filing system to facilitate the smooth running of the office and ensure that appropriate records are maintained.

  • Previous experience of working with vehicle fleet.

  • Any appointment is generally made at the bottom of the salary range for the grade dependent upon experience and previous salary.
  • This is a full time post and is fixed term for 12 months.
  • Annual leave entitlements are shown in the table below and increase after 5 years’ service. In addition, to the eight Bank Holidays, there are university discretionary days between Christmas and New Year. All leave, including bank holidays and discretionary days, is pro-rated for part time employees.
