Job title: Office and Finance Administrator

Reporting to: Programme Manager

KEY TASKS AND RESPONSIBILITIES
General day to day office management and administration to ensure the smooth running of the financial and administrative systems of the organisation. As well as general office duties, the post holder will be responsible for:
  • Providing administrative support and office management for the ‘Wildly Different’ team - Programme Manager, Engagement Support Worker and the Events & Training coordinators
  • Deliver finance and book-keeping expertise to the organisation including financial system administration and financial reporting
  • Developing and maintaining administrative systems (electronic and paper filing; policy updating, etc)
  • Supporting the monitoring & other reporting requirements to funders
  • Supporting the design and delivery of marketing materials and facilitating communication with Programme participants, target groups and delivery partners through paper based and electronic systems
  • Building and maintaining relationships with participants of Imayla’s offer
  • Managing the website, social media opportunities and maintaining the web-based signposting service
  • Developing publicity and marketing with other members of the team
  • Database management
  • HR support
  • Supporting the communication flow between the Programme team and the Board of Directors
  • Gathering, collating and researching funding and income-generating opportunities as requested
  • Tending relationships with community, statutory and voluntary partners and agencies

Occasional work outside office hours is required e.g. evening and weekend events

PERSON SPECIFICATION

1.Key Competencies

2.Work Experience
Essential / Desirable
At least two years experience of office and finance administration
Awareness of funding & income generating opportunities for community and voluntary sector organisations / Experience of working in the voluntary and community sector
Experience of working within an intercultural context
Knowledge of funding & income-generating opportunities for community and voluntary sector organisations
3.Qualifications
Essential / Desirable
Maths & English GCSE (grade A-C) / Book-keeping and accountancy qualification
4.Knowledge / Skills
Essential / Desirable
Excellent IT skills including Excel spread sheets, accounting software, word processing & website management software
Some experience of using software applications for marketing and publicity
Excellent written and verbal communication skills
Accuracy and attention to detail
Ability to plan and organise own workload and manage competing demands / Knowledge of Quickbooks accountancy package
Knowledge of working in the voluntary/community sector
Knowledge of the issues facing disadvantaged communities
An interest in increasing knowledge of funding and income generating opportunities
IT troubleshooting tenacity!

JOB TITLE

SALARY

/ £9,250 pa (based on £18,500fte)

LOCATION

/ The location for this post is Hamilton House, 80 Stokes Croft, Bristol, BS1 3QY

HOURS OF WORK

/ The working week is 18.5 hours

CONTRACT

/ The contract is offered on a permanent basis until May 2016 and is renewable subject to funding

PROBATIONARY PERIOD

/ The appointment will be subject to a probationary period of 3 months

LEAVE

/ The annual leave for this post is20 days pro rata (currently under review)
The annual leave year starts on the 1st of the month in which the contract commences

NOTICE PERIOD

/ Following successful completion of the probationary period, this post will be subject to a notice period of one calendar month on either side

The organisation that leases the building is looking at the feasibility of refurbishing the defunct lift,which would make it more accessible.
