JOB DESCRIPTION

Job Title: Medical Receptionist

Accountable to: Office Manager

Responsible for: No other staff

Main purpose: To facilitate the doctor/patient relationship in all aspects. To ensure that all enquiries from patients are handled efficiently and courteously and to perform administrative duties diligently, ensuring the smooth running of the reception area. To be a member of a team, working to achieve the aims of our Mission Statement.

Main responsibilities:

Administrative duties may include:

·  To deal all aspects of the reception role to include:

1.  To welcome patients at the foyer reception desk, hand out prescriptions, receive deliveries, monitor security of the building etc.

2.  To deal with patients at the Main Office desk, registering new patients and amending changes of address, new patient questionnaires, accepting repeat medication requests, and suitably packaged samples etc.

3.  To make various appointments, both face to face and on the telephone.

4.  Receive and log requests for visits, telephone call requests and other general enquiries i.e. checking for results etc.

·  Pulling, filing and tagging of patients notes

·  Making telephone calls for the doctors when requested to do so.

Specific Roles Depending on Individual Responsibilities

·  Scripts Clerk - processing requests for repeat prescriptions

·  Opening post, scanning and distributing via workflow all incoming clinical post

·  Co-ordinate reception overtime rota

·  Tidy and monitor patient waiting areas

·  Co-ordinate new patient registrations or notes tagging

·  Co-ordinate patient display and notice boards

·  Order patient information leaflets and folders

·  Prepare antenatal and carers information packs

·  Co-ordinate counsellor referrals and appointments

·  Phlebotomy fax request

·  Co-ordinate meeting room bookings and arrange medical examinations

·  Administration of solicitors medical records requests

Other responsibilities:

Customer Care.

·  As the “face” of New Road Surgery the reception team have a special opportunity and obligation to present a friendly face and ensure good customer care.

·  To work and behave in a way that promotes the aims of our Mission Statement.

·  To help promote good customer care within the department by actively contributing to any discussions about standard setting and maintenance.

·  To be courteous and efficient in your handling of patients and their requests.

Training and Personnel Development

·  To participate in discussions with your line manager identifying your own and your team’s training needs with reference to the practice’s business plan.

·  With your line manager to appraise any training you have undertaken to ensure the knowledge or experience you have gained is used effectively.

·  To participate in annual staff development interviews conducted by your line manager.

·  To contribute appropriately to the induction and training of new staff at the surgery.

Financial

·  To be diligent in your administration of private medical fees or any claim forms you may handle to ensure that practice income is maximised.

·  To contribute to any discussions with your line manager on the cost effective running of the reception department.

General

·  To make tea and coffee and any necessary washing up when requested to do so.

·  To provide cover for other reception staff on an overtime basis when requested.

·  To work occasional Saturday mornings as required

·  In exceptional circumstances to be able to assist the secretarial team if requested by your line manager.

·  To undertake any other reasonable duties as required by the practice.
