Job Title:Management Information Systems(MIS) Administrator

Reporting to:Head of Finance & Internal Operations

Area of Work:Overall Management of Partner Africa’s MIS

Place of Work:Nairobi, Kenya

Contract:Full time

  1. Purpose

Partner Africa is committed to the continuous improvement of its operationaland business models to ensure the improvement of the delivery of all our services and programmes.

The primary purpose of this role is to solve any organisational information problems and requirements by analyzing requirements and recommending system controls and protocols through:

  • Strategic planning: the analysis of the organisation’s strategic business needs
  • Operating and business model analysis:defining and analyzing the organisation’s policies and business approaches
  • Process definition and design: the business process to deliver the strategy
  • Technical business analysis:assessing the business model and it’s integration with existing technology

Thereby supporting the development, maintenance and delivery of the continuous improvement of Partner Africa’s management information system on Salesforce. In addition, the MIS Administrator will act as an IT support person.

  1. Accountabilities & Responsibilities

Management Information System on Salesforce

  • Determine the operational objectives by studying organisational functions, gathering information, evaluating output requirements and formats
  • Design new reporting formats by analysing requirements, constructing workflow charts and diagram, studying systems capabilities and writing specifications when required as well as the business case and project budget to effect any changes
  • Improve the existing management information systems by studying current practices and designing and implementing modifications
  • Maintain system protocols by writing and updating procedures
  • Provide references for all users by writing and maintaining user documentation, providing help desk support and training users
  • Maintain user confidence and protect operations by keeping information confidential
  • Prepare reports by collecting, analysing and summarising information and trends
  • Work with the Senior Management Team and Self Help Africa’s ICT Manager to ensure Partner Africa is capturing and using the information it needs to track operational performance
  • Work with the Department Team to understand their processes and procedures and develop MIS solutions to make their processes and procedures more timely and accurate.
  • Provide training and mentoring for Salesforce Users in Partner Africa
  • Conduct periodic reviews of data integrity in the system and advises users on errors and omissions.
  • Recommend and develop new tracking and reporting on Salesforce to ensure that Partner Africa is continuously seeking to improve its ability to capture and utilise the data
  • Develop a system to track client audit data and create analysis reports to add value to our service offering for current clients

IT support

  • Support the Partner Africa team in resolving IT issues: including software upgrades, hardware problems, internet connectivity liaising with external IT support as required.
  • Work with the Head of Finance and Internal Operations to ensure data is backed-up securely.
  • Conduct periodic reviews with users to assess and support ICT skills development

Limited domestic travel may be required

  1. Profile: Experience and Behaviours

In order to succeed in this role, it is expected that the MIS Administrator will have:

  • 3 – 5 years hands on experience with Salesforce.com System Administration or other well established CRMs.
  • Experience of training new users on the Force.com platform
  • Confident in using Opportunities within Salesforce
  • Confident in manipulating large amounts of data while understanding related object/field functions
  • Confident understanding of Salesforce reporting and Dashboards
  • Strong knowledge in using Salesforce View and Report logic criteria
  • Bachelor of Science Degree in Information Science, Computer Science, Business, Finance, Management Information Systems or other relevant combination of training and experience
  • Experience in process improvement
  • Strong PC skills (Excel, Word, etc.) e.g. Microsoft Certified Systems Administrator (MCSA) or Sun/Solaris Certified System Administrator (SCSA)
  • Has excellent research, analytical planning and organisational skills
  • Strong writing, presentation, communication in English
  • A high level of drive, initiative, motivations, commitment and professionalism
  • Demonstrates the flexibility and the ability to work in a multi-cultural and multi –national team
  • Demonstrates commitment to working with a values-based organisation
  • Has the ability to work under pressure

Additional Knowledge Preferred but not Essential

  • Industry experience in supply chains
  • Experience with Excel Connector or other data loader tools
  • French and or Arabic language skills
