Job Title: Lottery Administrator

Accountable to: Database & Information Management Team Leader

Job Purpose: To ensure all lottery administration and processes are completed accurately and on time. Facilitate effective relationship fundraising, income analysis and to enable the Fundraising Team to achieve its strategic and business objective.

Salary: £15,327 FTE (actual salary £10,356)

Hours of Work: Part time working 25 hours per week over 4 or 5 days

Start Date: Tuesday 2nd January 2018

Main Duties and Responsibilities

1.  Act as a point of contact for lottery enquiries by telephone, email, post, dealing with enquiries effectively and timely and providing a high standard of customer service.

2.  Process the weekly in-house lottery ensuring all aspects are completed accurately, on time deadline and in line with legislation.

3.  Process Direct Debit instructions, cancellations and amendments on a weekly basis.

4.  To accurately and consistently input high volume of lottery income on to the Donorflex system, ensuring close control and accountability for all monies on Donorflex, in line with Hospice policies and procedures.

5.  Maintain the Donorflex Lottery database accurately processing new members, amendments, cancellations and donations.

6.  Assist in the processing of all raffle payments and associated paperwork.

7.  Process Gambling Commission returns on a monthly basis.

8.  Work with the Individual Giving Co-ordinator to help develop Lottery membership, including supporting the management and monitoring of 3rd party canvassing agencies and tracking lottery attrition rates.

9.  Work with the Finance Team to ensure accurate and effectively reconciliation of lottery income.

10.  Process all lottery invoices on Sage.

11.  Provide database administration cover and supporter to colleagues in absence or busy periods, including non-lottery income and administration.

12.  To provide training and support to volunteers assisting with this role.

13.  Assist with specific fundraising projects as required.

14.  Help at key events when required. Including some evenings and weekends when required.

Other

1.  Be a co-operative and supportive member of the Trinity Fundraising Team, contributing to team meetings and planning sessions.

2.  Manage all volunteers in your area, developing effective working relationships and providing regular feedback on their performance.

3.  Take responsibility for being up to date with current Trinity policies and procedures and to adhere to these.

4.  Promote at all times the Hospice Mission, and uphold Trinity’s values.

5.  Fulfil any other duties that may be reasonably requested.
