Job Title: Legacy and In-Memory Manager

Reporting To: Head of Major Gifts

Department: Marketing (Major Gifts Team)

Location: Head Office, Bromley

Main Job Role: To be responsible for meeting the targets for legacy and in-memory income whilst safeguarding the CF Trust’s reputation and building strong relationships with supporters.

Main Duties:

Legacy Marketing

·  To work with the Head of Major Gifts to develop a legacy marketing strategy to help deliver legacy income targets.

o  To undertake research where appropriate to inform strategy development;

o  To develop a legacy vision/ case for support to demonstrate need to different target audiences;

o  Keep abreast of best practice within the sector and how this can be applied to legacy promotion at the CF Trust;

o  Keep up to date with any changes in legislation, best practice and industry standards around the promotion of legacies;

o  Ensure all activity adheres to relevant regulatory procedures including the Data protection Act and Institute of Fundraising guidelines.

·  Develop, implement and manage annual legacy marketing plans to help deliver the strategic plan.

o  Develop and implement annual work plans, including an annual calendar of legacy marketing activity;

o  Test and revise the plan year on year;

o  Develop a range of KPIs to help monitor the effectiveness of legacy marketing.

·  To produce materials and information to promote legacy giving across a variety of different channels: direct mail; CF Trust publications; on-line and the press to reach identified target audiences.

o  Review the current materials and asses needs for current and future activity;

o  Identify target audiences and develop key messages for each group;

o  Develop new materials in line with the newly developed strategy and messages;

o  Test new materials;

o  Develop the on-line promotion of legacy giving;

o  Ensure promotional materials are distributed to internal stakeholders.

·  Devise and implement a stewardship programme for legacy prospects, enquirers, pledgers and families connected with existing bequests, which is integrated with other fundraising and communications activities.

o  Develop a programme of engagement to ensure legacy prospects, enquirers, pledgers and bequest relatives are kept informed about the Trust’s work.

o  Undertake research into existing legacy pledgers and enquirers, their relationship with the Trust and reasons for leaving a legacy.

o  Use this research to identify new legacy prospects.

o  Review and develop correspondence that is being sent to legacy enquirers and pledgers.

o  Implement procedures to ensure all enquiries are being handled in a timely and professional manner.

o  Act as the main point of contact for all external enquiries about legacies.

·  Help develop a legacy promotion culture internally by providing training and support to enable CF Trust staff and branches to feel confident when promoting legacies.

o  Review current training materials and update or develop new ones if appropriate.

o  Act as the main point of contact for all internal enquiries about legacy promotion.

o  Develop an understanding of other team/ department objectives and how legacy promotion can fit with these.

o  Ensure other teams/ departments are aware of legacy promotion activity and how they can play a role.

·  To develop relationships with solicitors and lay executors to secure additional intelligence relating to bequests to help inform the future legacy marketing strategy.

In Memory

In conjunction with Head of Major Gifts to plan, manage and implement the in memory giving strategy with key internal stakeholders. Act as the central point of contact for the programme.

o  Develop internal business processes in conjunction with supporter care, database manager, finance teams in particular

o  To work across other fundraising departments, in particular Regional Fundraising to launch and deliver the programme

o  Develop materials and products to support in-memory giving e.g. funeral envelopes, in memory walks

o  Research tribute funds as a potential source of new income for the CF Trust.

o  Develop and implement a tribute fund scheme if appropriate.

Legacy Administration

·  To deliver the legacy administration strategy of maximising net income and monitoring and progressing the administration of estates.

·  To review and develop the Trust’s legacy administration processes in line with sector best practice

·  To oversee the day to day work of the Research and Legacy Administration Assistant in handling legacy casework.

·  To work with external supplier of specialist legacy administration software on implementation of First Class to enable the effective management of legacies

·  Liaise with personal representatives and executors and co-beneficiaries, providing technical guidance where appropriate.

·  To establish a system to review legacy files on a regular basis: residuary every 3 months; pecuniary every 6 months; reversionary every two years.

Monitoring and Forecasting

·  To advise and make recommendation to the Head of Major Gifts on re-forecasting income and setting annual budgets including accruals of legacies

·  Reconcile legacy and in memory income and expenditure with monthly reports received from finance department

·  Provide reports on legacy and in memory income

·  To use legacy income statistics to inform the future legacy marketing strategy.

Training and Best Practice

·  To keep abreast of best practice within the sector and how this can be applied to legacy administration at the CF Trust.

·  To keep up to date with any changes in legislation, government budgetary changes, best practice and industry standards around the administration of legacies.

·  To ensure all activity adheres to relevant regulatory procedures including the Data Protection Act, Institute of Fundraising Guidelines and the CF Trust’s Delegation of Authority document (tbc).

·  To carry out any other reasonable duties that are consistent with the skills, abilities and position of this job.

·  High standard of general education. / ·  Educated to degree level or equivalent.
Experience

·  Demonstrable experience of legacy marketing and administration.
·  Proven track record of achieving targets and managing budgets.
·  Liaising at all levels with the ability to motivate and inspire others.
·  Able to effectively manage projects from initiation to completion. / ·  Experience of successfully working with, and influencing, stakeholders to introduce new initiatives.
·  Experience of in-memory and tribute funds.
·  Experience of guiding and directing the work of colleagues.
Skills and Knowledge

·  Able to communicate legacy messages to a wide range of audiences through varied channels.
·  Able to approach donors for financial support, through legacies, both individually and as part of a team. / ·  Able to create and deliver training to a wide range of internal audiences.
