JOB TITLE:IT SUPPORT ADMINISTRATOR

RESPONSIBLE TO:THE GENERAL PRACTITIONERS IN PARTNERSHIP

UNDER SUPERVISION OF:CLINICAL SUPPORT MANAGER

MAIN PURPOSE OF THE JOB:

To provide an efficient IT and data administration service which supports both the clinical and managerial needs of the practice.

DUTIES:

1.IT Administration

1.1 Rotas. To assist with the maintenance of the rota system, administering absences and allocating rooms to clinical staff accordingly.

1.2 Searches. To undertake both regular and ad hoc searches required for the practice to claim payments, monitor performance and enhance patient care.

1.3 Patient Communications. To maintain and develop “e”-communications with patients including, but not limited to, Jayex boards, websites, NHS Choices, waiting room TV screen and text facilities.

1.4 IT Users. To maintain the master records of IT users, smart card users and remote log-ins.

1.5 Administration. To undertake such other IT / communications admin tasks as may be required, e.g. to maintain the intranet / internal email groups, back-up the systems.

1.6 Excel. Spreadsheets for obtaining statistics.

2.Hardware Support

2.1To assist members of staff experiencing problems with their PC’s or printers, helping with EMIS, AIMTC and other system help desks as required. To ensure that any problems occurring frequently are highlighted to management.

3.Coding & Summarising

3.1 Coding. To code patients medical records to ensure events are searchable.

3.2 Summarising. To summarise new patient records within the timescales to meet the requirements of QOF.

4.Registration

Amendments and deductions. GP2GP.

5.ReceptionDuties

To cover Reception duties as required. These duties could include: Answering telephone, manning the Reception Desk, booking appointments, auctioning tasks and opening post.

Such other duties as agreed with the Partnership/Practice Manager.

Confidentiality

In the course of your duties you may have access to confidential material about patients, members of staff or other health service business. On no account must information relating to identifiable patients be divulged to anyone other than authorised persons, for example medical, nursing or other professional staff as appropriate, who are concerned directly with the care, diagnosis and/or treatment of the patient. If you are in any doubt whatsoever as to the authority of a person or body asking for information of this nature, you must seek advice from the Practice Manager. Similarly, no information of a personal or confidential nature concerning individual members of staff should be divulged to anyone without the proper authority having first been given. Failure to observe these rules will be regarded by your employers as serious or gross misconduct which could result in disciplinary action being taken against you.

It is the duty of every employee to work in such a way that accidents to themselves and to others are avoided and to co-operate in maintaining their place of work in a tidy and safe condition, thereby minimising risk. Employees will therefore refer any matter of concern to the Practice Manager. Similarly, it is each person's responsibility to ensure a secure environment and bring any breaches of security to the attention of the Practice Manager.
