Job summary

To Head up the Priory Affairs Department in St John’s Gate with particular emphasis on leading the 41 County Priory Groups (CPGs) established throughout the Country, to ensure that they deliver the Priory’s Strategy and comply with the Trustees’ requirements in this respect. In addition to Lead the central Priory Affairs teams to ensure the delivery of Ceremonial Events and the processing of Honours and Awards

Main duties and responsibilities

  1. Working with the Priory Secretary and the Chancellor to define the Priory Strategy both on a short term and long term basis, for Presentation to, and Implementation by the 41 CPGs.
  1. Develop the Terms of Reference of the 41 CPGs and design their Modus Operandi so that they support the Priory’s Strategy, and to ensure that they only operate within the same. The key areas are:
  2. Acting as Ambassadors for St John
  3. Ensuring maintenance of the Honours and Awards System in their County
  4. Liaison with the Priory Hospitaller and support for the EyeHospital
  5. Support for St John Associations overseas
  6. Promotion of Pro Fide via CountyChaplains
  7. Liaison with The Fellowship
  8. Liaison with Lord-Lieutenants
  1. Manage the Recruitment, Induction and Training of 41 CPG Chairmen. Working with the Priory Secretary and the Chancellor to define these roles and keep the role definition up to date.
  1. Manage the 41 CPG Chairmen and assist them in establishing their local (10 person) CPGs, ensuring t0e correct mix of skills and experience exists for the local delivery of the Priory’s requirements.
  1. Establish and Maintain effective systems of Communication between CPG Chairmen and SJA RDs, and operate the procedures for selecting Priory Chapter members from the Regions.
  1. Establishing Cost control mechanisms for the 41 CPGs (c.400 people) and authorising all expenditure and reimbursement of expenses in respect of the same
  1. Visit the CPGs on a regular basis (ideally on a Regional basis) to check activities are consistent with their Terms of Reference/ modus Operandi.
  1. Oversee the successful delivery of all Ceremonial Events in the territory of the Priory via the Manager of Ceremonial Events and Honours/Awards, liaising with the Priory Director of Ceremonies and the Order Director of Ceremonies (including drafting Ceremonial Instructions for relevant Order Events).
  1. Oversee the successful delivery of Honours and Awards in the territory of the Priory via the Manager of Ceremonial Events and Honours/Awards; taking the Lead on all National Honours system matters.
  1. Take the Lead in (and oversee delivery by the Manager of Ceremonial Events and Honours/Awards of) the Order’s Organ Donation Awards, Iiaising with the Priory Secretary and the Chancellor.
  1. Oversee the Maintenance of Member relationships with members on the Order role in the Territories of the Priory and maximise the collection of Oblations via the Manager of Ceremonial Events and Honours/Awards.
  1. Prepare and be responsible for the Priory Affairs/CPGs Budget.
  1. Directly and Indirectly Line Manage the Priory Affairs team.
  1. Ensure compliance with all related Order and Priory of England and the Islands’ policies and procedures.
  1. To perform any other duties commensurate with these responsibilities, the band of the post and skills and qualifications of the post-holder.
