Job Title : FINANCE ASSISTANT (AD141/1116)

Salary : Spinal Point 14 - 17

Grade : NJC Scale 3

Responsible to : Finance Officer (NCW)/Assistant Principal (WASBM)

Responsible for:

Working Pattern: Term Time only, seven hours per week (five NCW

and two Temporary WASBM*)

Purpose of role:

To support the work of the Finance Officer with College financial management.

To support the Assistant Principal with Worcestershire Association of School Business Management (WASBM) financial administration in his role as WASBM Treasurer.

*Note that the two hour WASBM support is linked to the WASBM Treasurer being based at NCW and would cease should the Treasurer move to another school or college or resign the role.

Key Activities:

New College Worcester

  1. Providing financial support to the Finance Officer as directed and in line with Finance Policy.
  1. Carrying out invoice processing by ensuring that invoices are checked to original purchase order, goods have been received and authorised for payment, entered on the financial system for payment and subsequently filed.
  1. Raising approved payments (cheques or BACS), posting in FMS and on the BACS system and submitting to authorised signatories.
  1. Processing purchase orders on the FMS system, sending copy onto supplier and filing of orders.
  1. Following up outstanding purchase orders on a termly basis.
  1. Analysis of catering company ‘free issues’ and entering on FMS.
  1. Processing transactions and providing support on the petty cash process.
  1. Raising invoices to debtors and ensuring appropriate coding in FMS.
  1. Ensuring that all income is receipted and applied to the correct cost centres in FMS.
  1. Preparation of banking of income.
  1. Monthly processing of visa purchases on FMS. Check receipts and

budget holder approval and posts to appropriate cost centre.

  1. Processing of termly food accounts recharges on FMS.
  1. Producing half termly (or on request) cost centre spending reports

from FMS for budget holders.

  1. Any other duties commensurate with the nature of the post and under the reasonable direction of the Principal.

WASBM

  1. Support the Assistant Principal (WASBM Treasurer) with any financial transactions relating to WASBM.
  1. Keep the WASBM financial system up to date and accurate for the production of financial information.
  1. Produce monthly control account reports and reconcile the bank account.
  1. Raise debtor invoices in relation to annual member subscriptions, annual conference, sponsorship agreements and any other business in support of the work of the organisation.
  1. Process invoice payments on the system in support of the work of the organisation and producing cheque payments for authorisation by signatories.
  1. Keep an updated list of WASBM members for invoicing.
  1. Support the annual audit.
  1. Any other duties commensurate with the nature of the post and under the reasonable direction of the WASBM Treasurer.

ESSENTIAL / DESIRABLE
Skills, knowledge and aptitudes:
  • Good general financial skills and an aptitude for working with figures.
  • Good financial systems software skills.
  • Good ICT skills including using word, excel and email.
  • Good organisational skills being able to meet deadlines.
  • Good interpersonal skills being able to positively interact with staff and students.
  • Good communication skills being able to liaise effectively with staff and those doing business with the organisation.

Qualifications and training:
