Job Title: Examinations Invigilator
Main purpose of post
- To support the Examinations Manager in the fair and proper conduct of all examinations in an environment that enables students to perform at their best.
- To ensure that examinations are conducted in accordance with the rules and regulations of the JCQ and Awarding Organisations.
Requirements of the individual
- Be confident and authoritative in introducing and conducting the examination
- Be sympathetic and responsive to any personal issues / problems affecting individuals, in both large and small group situations.
- Deal immediately with any difficulties in behaviour or unexpected issues affecting the way in which the examination may be conducted. In order to do this the invigilator must show initiative and work independently.
- Work within very tight time constraints, particularly in assimilating the requirements of each examination and planning how it is to be conducted.
- Ensure the security of Examination papers before, and completed scripts after each examination.
- Have good communication skills.
Job specific requirements
- Be familiar with the JCQ Instructions for Conducting Examinations and the schools own examination requirements and be able to apply the information to actual examination arrangements.
- Collect examination material from the Examinations Office and quickly determine the requirements and arrangements for each examination to be managed. This includes dealing with multiple examinations in one room and students taking more than one paper.
- Ensure that the examination room is laid out correctly (this may require some re-arrangement of furniture) and set up with all necessary notices, desk cards, clocks and examination papers.
- Supervise the stowing of personal and unauthorised items in the room designated for that purpose; ensure that the room is secured when unattended.
- Admit and supervise the students at the appropriate time, ensuring that they observe examination conditions, leave all unauthorised items in the designated room or receptacle and are seated at the correct desk.
- Ensure that the formal and school announcements are made, including any examination specific information.
- Ensure that the examinations start on time.
- Collect other unauthorised items for safe keeping during the examination.
- Deal with any late arrivals or candidates allowed extra time without disturbing other candidates
- Complete the required documentation on invigilation, attendance, late arrivals and room seating plan.
- Walk actively but unobtrusively round the examination room, dealing with requests from students, and ensuring that there is no attempt to communicate or use unauthorised materials. This requires full attention at all times, and being active and mobile for up to two and a half hours.
- Supervise candidates who need to leave the examination room for any reason, and supervise candidates, where required beyond the examination period.
- Resolve unforeseen difficulties, student health or behaviour issues, or external interruptions, such as a fire alarm, and make full written reports on any potential malpractice or other incident during any examination.
- Ensure that only authorised persons are present in the room during the examination.
- Ensure that there is no breach of examination security, no unauthorised access to the examination room, papers or scripts before, during and after the examination.
- Ensure that no candidate is permitted to leave the examination room unescorted before the time set out in the JCQ Regulations and in school policy.
- Stop the examination and inform on the need for correct information on scripts, and on arrangements for collecting scripts and other items.
- Ensure silence is observed throughout script collection and during the process of leaving the room when dismissed.
- Check all completed scripts are correctly identified and completed, are collected in and are in the correct order.
- Remove all notices, ensure that the room is as found, and securely return all scripts and equipment to the Examinations Office.
- Any other duties as requested by the Examinations Manager or the Head Teacher.
NB: Hours worked are variable and on an 'as required' basis, the number of hours cannot be guaranteed.
