Job Title:Events Manager

Location:Central London

Responsible to:Board of Trustees

Contract:Permanent

Hours: 3 – 4 days

Salary: £30,000 P.A pro-rata

Job Summary

  • To be responsible for event fundraising income generation, planning & delivery.
  • To provide administrative, budgetary and project managing support for events, including recruitment of and liaison with producers, putting a committee in place for all key events including West End Bares, West End Eurovision, A West End Christmas and any new events brought to the trust.
  • To negotiate, where appropriate, venue agreements (incl. hires, ticketing & contras) To manage & develop existing and new fundraising activities and income streams
  • To develop a detailed annual activity schedule and create cost effective and realistic event plans and budgets that fulfil agreed financial and non-financial objectives at an acceptable cost income ratio.
  • To make risk analyses and balancing time-cost ratios to focus effort upon the most appropriate fundraising activities with the highest chance of success.
  • To assess & report to the Board on suitability of approaches by external companies/organisations for partnership events.
  • To monitor income and expenditure against budgets and the targets.
  • To ensure that all fundraising activities are in line with the mission, vision and values of the organisation.
  • To liaise with charity manager to ensure that all the fundraising activities meet with the Charity Commission requirements, the Charities Act, the Data Protection Act, the Institute of Fundraising, and all other relevant statutes.
  • To update charity manager on all events.
  • Update website with information on past and future events.
  • To prepare reports for both donors and trustees of the charity.
  • Maintain awareness of other charity initiatives and activities both locally and nationally that may impact on events activity.
  • In conjunction with Trustees define quality standards, systems and processes for measurement and evaluation.
  • Produce detailed evaluations of events and activities; provide solid recommendations for further development of the activity.
  • Provide a feedback to the Chairman on all aspects of the Events and Community Fundraising Department.
  • To manage the cabaret co-ordinator

Communications:

  • To monitor marketing campaigns and supply assets managed by external partners.
  • To be an excellent ambassador of MAD, be comfortable representing its objectives, services, and unique fundraising and grant-making personality in the British entertainment industry/community, as well as in the corporate and charity world.
  • To maintain a constant interaction with the theatre community, in particular the West End. Expertise, appreciation for, and fluency in this unique world of live entertainment is essential.
  • Represent the charity at meetings & events as delegated.

Day to Day Management:

  • To develop & implement a strategy for the recruitment of volunteers.
  • To oversee the management of volunteers, with assistance from the Administrator.

Essential Work Skills:

  • A minimum of 3 years experience in event/theatre production
  • Computer literacy including proficiency with Microsoft Applications (Word, Excel, Outlook etc.) and databases (FileMaker CiviCRM).Wordpress
  • Excellent all round communication skills, both spoken & written.
  • Willingness to both lead and work as part of a team.
  • Strong people management, project management and leadership skills.
  • Must show an interest in, knowledge of and empathy with performing arts.
  • Strong financial management, planning and budgetary control skills.
  • Excellent planning and organisational skills.
  • Flexibility, creative thinking and drive.
  • Meeting deadlines, whilst ensuring quality.
  • Appreciation and understanding of the British theatre community are essential.
  • A demonstrated ability to think creatively and bring fresh ideas and approaches to development initiatives
  • Ability to effectively prioritise and execute tasks in a high-pressure environment
