Job Title: Digital Resource Manager and Project Coordinator

Job Location: Haywards Heath

Reports to: Head of Digital

Job Purpose

As a key member of the Digital HUB team, be responsible for managing and policing the new resource and sprint management process, to keep the workflow running seamlessly through the digital and communications department. In addition this role will include assisting in the scoping, management and delivery of assigned digital projects and campaigns, ensuring that the correct processes are planned and implemented to execute digital work.

Principal Accountabilities:

  1. To keep the workflow running seamlessly through thedepartment (10%)
  • Ensures all project work is briefed in on time and enough time has been allocated for the work
  • Manages SPRINT cycles, filters work and allocates out. Closes tickets.
  • Communicates SPRINT issues to Heads of Dept
  • Owns induction process for all new starters (FL & Perm)
  • Ensures new starters are set up and running on their first day.
  1. Manage day to day scheduling requirements (20%)
  • Hold weekly resourcing meeting and work closely with Project Managers to ensure their resourcing requirements are booked in
  • Flag any resource clashes or issues with PM’s / Dept Heads and help to resolve
  • Keep schedule up to date on a daily basis
  • Have overview of workload for the team and resource availability
  • Communicates schedule weekly to team and ensures work is done as scheduled
  1. Forward workflow planning (10%)
  • Works closely with Head of Digital and Head of Coms to ensure awareness and ownership of all new briefs and helps to allocate PM’s to each new brief
  • Updates pipeline planner and live production slate. Updates Holiday / Absence Planner and ensures these are added to the schedule
  1. Manages all freelance and 3rd party supplier requirements (10%)
  • Owns booking process for Freelancers and 3rd part supplier set up process
  • Draws up and issues contracts ensuring legal compliance
  • Raises PO’s, signs off invoices and tracks freelance costs in Cost Tracking sheet for Digital Dept.
  • Manages centrally held database of relevant freelancers
  • Informs HR of all Freelancers on site (including Health & Safety)
  • Manages Recruitment Agency PSL
  • Owns Recruitment Agency relationships, negotiates rates and contracts.
  1. Assist with the project management of assigned projects and campaigns including (50%)
  • Scoping, management and delivery of assigned projects and campaigns, ensuring that the correct processes are planned and implemented to execute digital work.
  • Stakeholder engagement, communication and risk management

Knowledge (Education & Related Experience):

  • University degree in relevant field or equivalent work experience.
  • Knowledge and experience of digital resource management
  • Sound understanding and experience of the project management principles and the project lifecycle
  • Thorough understanding of editorial and design production processes and workflows
  • Experience managing internal clients and stakeholders as well as external agencies and freelancers.
  • Knowledge of digital marketing channels.
  • Passion for, and knowledge of, digital trends and new media.
