Reporting to:Guest Services Manager

Aim

  • CC opens ten centres across London from 23 to 30 December inclusive, the role of the Activities Co-ordinator is to develop a programme of activities to run in all centres throughout the week
  • Recruit a sufficient number of suitably experienced volunteers to deliver the activities programme
  • Co-ordinate the delivery of an activities programme in all centres at CC

Dimensions

  • Required to liaise with activities volunteers and CC centre shift management teams
  • Required to liaise with external agencies and contractors

Circumstances

  • 35 hours per week
  • Temporary contract from 1 September 2016 to 13 January 2017
  • The role will require some out of hours working in November and December, including some weekends and evenings. When the centres are open 22 – 30 December (inclusive) the post holder is entitled to one day off. Time Off in Lieu will be given in accordance with Crisis TOIL policy.

  • £27,177 per annum

Principle accountabilities

  • Recruit a wide range of suitable activities volunteers to deliver a programme of uplifting activities for guests including, but not limited to: Arts and Crafts, Health, Wellbeing and Sports, IT, ESOL, Life Skills, and Performing Arts.
  • Assist with recruit organisations / Future Focus exhibitors to help guests to explore potential opportunities for Volunteering, Employment, Education and Engagement.
  • Ensure enquiries from activities volunteers are answered quickly and courteously, both by phone and by email
  • Process applications from all activities volunteers
  • Ensure activities volunteers receive details of their shifts, plus any essential information they require, within agreed timelines
  • Develop a varied and balanced programme of activities at all centres throughout the CC week
  • Create and deliver appropriate training and materials to support volunteers within the Activities Teams
  • Produce an activities schedule for each centre that fits well within the overall schedule of services and entertainments
  • Ensure that activities are adequately resourced with equipment and other supplies
  • Build relationships with activities and entertainments organisers to develop the Activities/Entertainments programme
  • Liaise with shift management teams within centres pre and during the CC week to ensure the smooth running of the activities service
  • Support the delivery of the activities and entertainments programme during the CC week
  • Take ownership of all administrative tasks relating to the planning and delivery of these accountabilities.
  • Lead on the delivery and analysis of the activities evaluation post Crisis at Christmas, including online surveys, activity attendance and email feedback and ensure robust handover documents are in place

General

  • Actively encourage and support member involvement within Crisis
  • Develop and maintain an understanding of Crisis’ work and the needs and circumstances of homeless people
  • Comply with Crisis policies and procedures, including Health and Safety policies, for which all employees owe a duty of care both to themselves and others, in accordance with the Health and Safety at Work Act
  • Carry out any other duties that may reasonably be required in the light of the main purpose of the job

Person specification

Essential

  1. Excellent interpersonal skills to communicate effectively and confidently with a wide range of audiences
  2. Experience of being a volunteer and understanding what motivates volunteers to participate in a project such as Crisis at Christmas.
  3. Experience of customer service, particularly over the telephone and email, excellent telephone manner and ability to deal with high volumes of enquiries in a professional and friendly manner
  4. Good attention to detail and ability to process data accurately
  5. Knowledge and understanding of supervising volunteers
  6. StrongIT skillsand demonstrable ability to adapt to new systems
  7. Effective organisational skills with the ability to prioritise tasks and work to tight deadlines
  8. Able to work effectively in a highly pressurised environment
  9. Experience of working on own initiative and as part of a team
  10. An active knowledge of logistical and technical requirements needed to deliver activities events across ten centres
  11. A solution-oriented approach to problems

Special Requirements

Available to work unsociable hours in the run up to CC and over the Christmas period from 21 to 31 December.
