Aim

  • Provide administrative and logistical support to the Crisis Skylight Birminghamteam ensuring the smooth and efficient running of the office.

Dimension

  • Management responsibility for the daily running of the office.
  • No budget responsibilities although petty cash management, purchasing and other financial administrative tasks are required.

Circumstances

  • 21 hours per week

Salary

  • £12,890 pa (£21,485 pa pro rata)

Crisis is the national charity for single homeless people. We are dedicated to ending homelessness by delivering life-changing services and campaigning for change.

Crisis Skylight, our award winning and accredited education, training and employment services, offer practical and creative workshops with formal learning opportunities that lead to qualifications and finding work. Crisis has Skylight centres open in London, Newcastle and Oxford and operates outreach services in Birmingham, Merseyside, Sheffield and Edinburgh.

In Birmingham, Skylight services aredelivered on an outreach basis in existing homeless and community facilities.

Principal accountabilities

Core job tasks

  • Supporting the team to maintain learner records, tracking and evidencing on the Management Information System and hard-copies where required.
  • Team data entry.
  • To assist in the preparation of reports for the Director of CSB, Managers, the Senior Management Team, funders and awarding bodies.
  • To be the first point of contact for telephone enquiries.
  • To take responsibility of the day to day Petty Cash management.
  • Ordering office stationery.
  • Managing CSB web-content and working with the Learning Manager & Progression Manager and Crisis Communication Department to prepare marketing materials.

Contribution to the team and organisation

  • Participate in professional development activities.
  • Promote the brand of the organisation internally and externally.
  • Work within the organisation’s policies and procedures including Equal Opportunities.
  • Support and manage volunteers as required within the office.
  • Assist in the planning and running of events including Celebrations of Success.
  • Carry out any other duties that may reasonably be required in the light of the main purpose of the job.

General accountabilities

  • Develop and maintain an understanding of Crisis’s work and the needs and circumstances of homeless people.
  • Comply with Crisis policies and procedures, including Health and Safety policies, for which all employees owe a duty of care both to themselves and others, in accordance with the Health and Safety at Work Act.
  • Carry out duties that may reasonably be required in the light of the main purpose of the job.

Person Specification

Essential

  1. Experience of supporting a team through implementing administrative processes
  2. Excellent communication (written and verbal) and presentation skills
  3. Good interpersonal skills with the ability to develop and maintain working relationships within a small team
  4. Proven organisational skills
  5. Ability to prioritise, be self-motivated and have good time-management skills
  6. Ability to work alone and as part of a team
  7. Ability to keep accurate and up to date records, sharing information as and when appropriate
  8. High proficiency in ability to use MS Office (including Word, Excel, & Outlook) and internet
  9. Experience of and competent in the use of online databases
  10. Evidence of continuing professional development e.g. through work training
  11. Commitment to Crisis’ purpose and values including equality and social inclusion
