Administrative Assistant for Building and Planning & Zoning Departments

DUTIES SHALL INCLUDE BUT NOT BE LIMITED TO:

BUILDING DEPARTMENT

  • Assist Customers with building permit application
  • Review, accept and release building permits
  • Input building permits into data base system
  • Maintain receipt book and deposits for the building permit fees
  • Answer phones
  • Schedule inspections
  • Assist Building Inspector with clerical duties

PLANNING & ZONING DEPARTMENT

Prepare Official Documents including:

  • Agendas
  • Minutes
  • Planning & Zoning Commission decisions
  • Planning & Zoning Recommendation to Board
  • Legal Advertisement
  • Ordinance
  • Attend and record official meetings, hearings including a minimum of one nightly meeting usually on the last Monday of the month.
  • Maintain County Ordinances, Comprehensive Plan and related documents on the Jerome County’s website
  • Prepare and maintain files
  • Prepare mailing
  • Maintain receipt book and deposits
  • Schedule appointments
  • Assist Administrator and Assistant Administrator with clerical duties

DAY TO DAY OFFICE DUTIES

  • Answer phones
  • Greet customers
  • Maintain supplies
  • Maintain accounts payable and receivable information
  • Assigned clerical duties

MINIMUM TRAINING AND EXPERIENCE

  • Has a minimum of two years experience in clerical, customer service and/or computer fields
  • Possession of a valid Idaho drivers license
  • Must be able to pass a drug test

Performance Aptitudes

  • Requires the ability to effectively communication with an individual on the phone and in a person with one on one contact in a tactful, polite and professional manner in a variety of different situations.
  • Must be well organized with the ability to compile exhibits, maintain large files, schedule meetings, schedule hearings and produce and publish time sensitive documents for publication and mailing.
  • Requires the ability to maintain a professional demeanor when working with the public and other employees in and outside of the workplace.
  • Be a self-starter with motivation of being a team player. Be willing to accept criticism and provide ideas in making the workplace a better work environment for you and other employees that you interact with.

Skills

  • Ability to use personal computer, including word-processing and data based software, web page, file, drive a motor vehicle, fax, copy and telephone.
  • Tasks involve the ability to pick up object and materials of moderate weight up to 40 lbs.
  • Frequently requires sitting at a desk for long periods of time.
  • Constantly requires repetitive movement of the wrists, hands and or fingers.
  • Constantly requires clarity of speech and hearing, which permits the employee to communicate effectively.
  • Constantly requires clear vision to read printed materials and computer screen to accomplish work
  • Some tasks require the ability to take minutes and file a report on those minutes.
  • Some tasks require that you be present when an evening meeting is required. This time after hours will be compensated through compensory time.
  • Requires sufficient personal mobility and physical reflexes, which permits the employee to function in general office environment to accomplish the tasks noted above.

Work Environment

The largest percentage of work takes place in the Planning and Zoning Office. Some tasks will require you to interact with others in a public setting when called upon, usually within an enclosed building.
